Summary

This position is responsible for assisting the Manager of Technical Services and FSQA staff with collection and accuracy of documents and programs. This position will complete customer requests for standard letters and questionnaires on company policy and procedures. Assist with specification creation by ensuring approvals are complete, creating label approvals, and tracking plant submission. The role will maintain documents, track compliance for plant programs and regulatory compliance, communicate key FSQA metrics within the organization, and assist with data collection as needed.

Education, Licensure and Experience

  • 2 years related experience and/or training; preferred 
  • Strong oral and written language skills; able to communicate effectively.
  • Good mathematical skills
  • Proficient in Microsoft Office, including Word, Excel, Visio, Power BI, and PowerPoint. Experience in data and inventory management systems, experience in SafetyChain is preferred. 
  • Knowledge of food science, meat and meat processing, quality assurance principles, USDA rules & regulations and statistics desired. 
  • Knowledge and understanding of Institutional Meat Purchase Specifications programs and FSIS labeling is preferred. 
  • Experience in meat or food industry; preferred
  • Able to work and make decisions on tasks independently.
  • Must be able to prioritize competing demands on time and resources.
  • Ability to work well with others in fast paced, dynamic environment.
  • Ability to be respectful, approachable and team oriented while building strong working relationships and a positive work environment.

Essential Duties and Responsibilitiesinclude the following (Please note: This in no way states or implies that these are the only duties you will be required to perform. The omission of specific duties does not exclude them from the position. Other duties may be assigned as deemed necessary and appropriate.):

  • Complete all customer requests for each facility. Including standard letter, audit requests, and questionnaires.
  • Assign tasks on SafetyChain related to item and packaging updates. 
  • Create label submissions, track plant completion of verifications, and file all related documents in electronic systems. 
  • Upload plant documents to SafetyChain and Smart Food Safe and communicate and manage completion of expired items. 
  • Assist in specification building and training. 
  • Track submissions and adherence on all first case runs.
  • Recap plant quality defects and send weekly reports. 
  • Track and maintain supplier compliance and documentation. 
  • Create and provide reports of key metrics to internal stakeholders.
  • Assist with data collection including product quality, research, and shelf life. 
  • Data entry for various reporting platforms.
  • Create users, groups, forms, and manage updates in Safetychain and Smart Food Safe.

Language Skills

Must be able to read, write, speak, and understand the language of the majority cultural group in order to communicate effectively. Must be able to hear enough to understand those individuals as well. Ability to read, interpret, and comprehend documents such as graphs /flow sheets, financials, general professional articles and publications, governmental regulations, safety rules, assignment sheets, and procedure manuals. Must be able to write reports, business correspondence, policies and procedures, and other administrative forms as outlined above. 

Must be able to effectively communicate in both individual and group settings. Must be able to present information and respond to questions from individuals and/or groups. 

Mathematical Skills 

In order to perform duties, must be able to:

  1. Add, subtract, multiply, and divide all units of measure such as whole numbers, fractions, percentages, and fractions. 
  2. Compute rate, discounts, ratios, and percent, and 
  3. Make, read, and interpret financials, graphs, rates, ratios, and percentages.

Reasoning Ability 

Ability to apply common sense and judgment in solving problems and interpreting and understanding instructions furnished in written or oral form. Must be able to make independent decisions when circumstances warrant such action yet reason when to involve supervisor. 


Computer Skills 

Intermediate computer knowledge with the ability to learn software.

  1. Display strong organizational skills with ability to prioritize multiple tasks and deal with frequent interruptions.
  2. Basic office skills such as phone skills, voice mail, copying, faxing, typing. 
  3. Ability to function independently given assigned duties. 
  4. Ability to communicate, work, and interact with a variety of individuals.
