Our New Market, MD team is hiring a Team Operations Manager. The Team Operations Manager is responsible for overseeing the day-to-day operations of a wealth management office, ensuring an exceptional client experience, efficient business processes, and a productive team environment. This role serves as the operational leader of the office, supporting financial advisors and staff by improving workflows, managing administrative functions, coordinating office resources, and driving operational excellence. The Team Operations Manager acts as a key liaison between advisors, support staff, clients, home office departments, and external vendors. Unique Role Purpose: Create an operational environment where advisors can focus on deepening client relationships and growing the business while ensuring a seamless, compliant, and exceptional client experience.
This role is a hybrid position (usually on-site 2 days per week). In the spirit of pay transparency, we are excited to share the base salary range for this position is $105,000.00 to $115,000.00, exclusive of bonuses and benefits. Key Responsibilities
Office Operations & Administration
- Oversee daily office operations to ensure a professional, efficient, and client-focused environment.
- Develop, document, and maintain office procedures, workflows, and best practices.
- Manage office facilities, supplies, equipment, technology resources, and vendor relationships.
- Delegate execution & specific item procurement/ordering to appropriate staff.
- Identify and implement process improvements to increase operational efficiency and scalability.
- Coordinate office projects, initiatives, and special events.
Team Leadership & Staff Management
- Supervise administrative and client service team members.
- Assist with hiring, onboarding, training, and development of office personnel.
- Establish performance expectations and accountability standards for support staff in coordination with SVP Team Leads.
- Foster a culture of teamwork, professionalism, and continuous improvement.
- Serve as a resource for problem-solving and conflict resolution.
- Coordinate office schedules, meetings, and internal communications.
- Assist advisors and client service team members with administrative and operational needs.
- Help maintain team accountability for operational standards and service expectations.
- Serve as a resource for office procedures and technology systems.
- Foster a positive, collaborative office culture.
Client Experience & Service Excellence
- Ensure consistent delivery of exceptional client service standards.
- Monitor client workflows to ensure timely processing of requests and follow-up activities.
- Oversee client communication processes and service models.
- Manage office-level client events, educational workshops, and appreciation programs.
- Marketing support to be discussed.
- Identify opportunities to enhance the overall client experience.
- Resolve routine client service issues and escalate complex matters appropriately.
- Support maintenance and consistency across the team of client and prospect records within CRM systems.
- Monitor data accuracy and completeness.
- Assist with workflow management and task tracking.
- Coordinate client meeting preparation and follow-up.
- Oversee document management, scanning, e-filing, and record retention processes.
- Help ensure timely completion of client service requests.
- Communicate process changes and/or improvements to ensure CSM compliance.
- As needed, support CSMs with paperwork preparation.
Compliance & Risk Management
- Partner with compliance personnel to maintain adherence to firm policies, regulatory requirements, and industry standards.
- Ensure appropriate recordkeeping, documentation, and operational controls.
- Monitor office procedures to reduce operational risk and improve consistency.
Financial & Business Management
- Manage office budgets, expenses, and vendor contracts in coordination with SVP Team Leads and home office staff.
- Monitor operational metrics and key performance indicators.
- Support strategic business planning and growth initiatives.
- Track office productivity and recommend improvements to resource allocation.
- Assist leadership with forecasting and operational planning.
Advisor & Practice Support
- Support advisors in implementing efficient client service and operational processes.
- Coordinate cross-functional activities between advisors, client service associates, and home office departments.
- Assist with technology adoption, system implementation, and workflow enhancements.
- Help ensure smooth execution of business development and client retention initiatives.
Education /Qualifications
- Bachelor’s degree or equivalent, demonstrated through one or a combination of the following: work experience, training, military experience, education preferred
- 5+ years of operations, office management, client service, or leadership experience.
- Experience in wealth management, financial services, banking, or a related industry preferred.
- Strong leadership, communication, and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Knowledge of CRM systems, Microsoft Office, and operational workflows.
- Understanding of financial industry regulations and compliance practices preferred.
WEG hires employees and makes decisions about their salary qualifications based on factors such as: the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified as the Associate level is $57,750.00 to $126,000.00. However, the base salary range bolded above ($105,000.00 to $115,000.00) is what we expect to pay as a starting range for this position.
