We're looking for a, Team Operations Coordinator to support the North America (NA) President and leadership team for Inizio Evoke Comms, while serving as a necessary connector for daily NA team needs. We are looking for a high level of coordination across teams and time zones, proactive schedule management, that helps keep the business running smoothly and ensures the employee experience is thoughtful and well-supported. You will blend traditional executive support with team operations, helping us stay one step ahead across internal coordination, communications, and execution.
This is a hybrid role based in our Philadelphia or New York office. You will report to the Managing Director, North America.
You Will:· Maintain, coordinate and manage complex calendars for the Group President and NA President, including scheduling, agenda setting, and follow-ups
· Book travel and accommodations for the NA President and executive team; track and submit expense reports
· Plan, schedule and organize high-level, executive and team meetings, ensuring all logistical details are covered
· Create and format presentations, team meeting materials, and leadership communications
· Support the planning team events, including team offsites, leadership workshops, team-building sessions and trainings
· Prepare welcome materials and provide early support to new hires, inclusive of coordinating onboarding meetings/schedules and setting up systems access
· Troubleshoot operational or team needs as they arise
· Help maintain shared team documents, tools, calendars, and trackers
· Partner with the President and Managing Director on priorities, including talent experience, team culture, and internal communications
· Ensure daily team operations are efficient, organized, and aligned with broader leadership goals
You Have:· 2+ years' experience in an administrative, operations, or team support role
· Ability to handle confidential matters with care
· Improvement oriented, always looking for ways to improve how things run
· Proficiency in Microsoft Office (especially Outlook, PowerPoint, MS Teams), Zoom and familiarity with calendar, travel, expense platforms, and cloud-based collaboration tools such as Box
· Comfort using AI-powered tools to streamline tasks and improve efficiency for self and team
· Interest in working at the intersection of team operations, internal culture, and executive support
