A Snapshot
As the Team Assistant, you will report to the Managing Director, Capital & Strategy, making your mark in a number of ways:
- You will support the leaders of AirTrunk’s Singapore Team during a period of exciting growth in the Asia Pacific region
- You will be instrumental in making sure our senior management’s time is efficiently used to deliver and achieve AirTrunk’s goals.
Your Day to Day
- Provide administrative support to VPs in Singapore, including diary management, inbox management, expense management and travel
- May be required to provide administrative support to the wider Singapore team, such as external meeting arrangements and travel
- May be required to coordinate arrangements and provide support to AirTrunk’s wider Executive Team, Chairman and Board during events and meetings held in Singapore
- Handle a wide range of contacts, both internally and externally
- Supervise and review administrative operating systems and procedures, making recommendations for efficiencies and improvements, where required
- Produce correspondence, presentations and reports, both of a general and confidential nature
- Participate in ad-hoc projects and activities as required by your leaders, and the broader leadership team and organisation.
- Event Planning - supports relevant business partners across regions with event-related matters which includes: events planning, coordination and implementation during events (physical or virtual)
- Liaise with AirTrunk’s People & Culture and Marketing & Communications teams to support customer and employee events and initiatives
- Communications
- Consistency - Ensure internal and external communication messaging and language is consistent across all platforms. Be the AirTrunk brand champion to the internal business partners.
- Compliance - ensure alignment of internal guidelines and compliance across internal communications, presentations and documents
Requirements
- Prior experience as an EA or Team Assistant, supporting at least 2-3 senior management level, is critical. Past experience supporting departments or teams is a strong advantage.
- Experience supporting leaders across multiple regions in APAC
- Broad knowledge of administrative processes, with highly-developed organisational and administration skills and to be able to forward plan and think strategically
- Strong business sense and excellent communication skills
- Enthusiastic and personable, collaborate closely with different levels of business partners, including senior management.
- Meticulous, with an eye for detail.
- Able to collaborate closely and coordinate effectively with different departments with the company, and with external business partners.
- Ability to work under strict timelines and to work independently.
- Self-starter; fast leaner, results driven and problem-solver.
- Resilient, flexible and agile with strong attention to detail and accuracy in all activities
- Highly-developed MS Office Suite skills, including experience in understanding board and executive presentations/reports
- Discretion when handling sensitive and confidential information.
Skills Required
- Prior experience as an Executive Assistant or Team Assistant supporting at least two to three senior managers
- Experience supporting leaders across multiple APAC regions
- Broad knowledge of administrative processes and highly developed organizational and administrative skills
- Ability to forward-plan and think strategically
- Strong business sense and excellent communication skills
- Ability to collaborate with senior management, internal departments, and external business partners
- Meticulous attention to detail, accuracy, and discretion with confidential information
- Ability to work independently under strict timelines
- Self-starter, fast learner, results-driven, resilient, flexible, agile, and effective problem-solver
- Highly developed Microsoft Office Suite skills, including executive and board presentations and reports
- Experience supporting departments or teams
