SUMMARY: The Team Administration Manager is responsible for the planning, coordination, and execution of First Team administrative operations, including team travel, player onboarding, league compliance, and day-to-day team logistics. Working closely with players, coaches, staff, Major League Soccer, and external partners, this position utilizes specialized operational knowledge and independent judgment to support the daily needs of the First Team and ensure efficient execution of team operations.

 

DUTIES AND RESPONSIBILITIES 

  1. Plan, administer, and oversee all aspects of First Team travel operations, including evaluation of travel options, coordination of vendors, management of travel logistics, resolution of travel-related issues, and ensuring compliance with league and club requirements.
  2. Manage and administer player and coach onboarding processes, ensuring compliance with league, club, employment, and operational requirements.
  3. Manage player and coach administrative processes, including travel documentation, MLS-required documentation, player registrations, and other league compliance requirements. Exercise independent judgment in resolving operational, compliance, registration, and documentation-related matters.
  4. Coordinate the operational aspects of player relocation and transition activities, partnering with the Player Care Liaison and other internal stakeholders to ensure onboarding activities are completed efficiently and in accordance with league and club requirements.
  5. Coordinate domestic and international travel arrangements for trialists, agents, coaches, players, and staff as required.
  6. Administer and oversee game day operational requirements, including league communications, credentialing, roster submissions, ticket tracking, visiting team coordination, staffing logistics, and compliance with MLS operational standards.
  7. Support the planning and execution of special soccer events and competitions, including MLS events, MLS meetings, combines, drafts, international competitions, and other league initiatives.
  8. Manage organization-wide soccer operations travel planning and administration for approved business-related events, league meetings, combines, drafts, and competitions.
  9. Oversee operational planning and coordination of First Team training activities, including facility scheduling, stadium operations requests, security coordination, field usage, and training support services.
  10. Maintain productive working relationships with league representatives, travel vendors, hotels, transportation providers, preseason destinations, and other operational partners.
  11. Coordinate all logistical aspects of First Team preseason activities, including travel, accommodations, training operations, meals, equipment transportation, and related administrative support.
  12. Monitor and maintain compliance with MLS operational policies, travel procedures, roster regulations, and other league requirements applicable to the First Team.
  13. Identify operational challenges and recommend process improvements to enhance efficiency, service levels, compliance, and the overall player and staff experience.
  14. Special projects and assignments as business dictates.
  15. Responsible for the maintenance, creation and control of all personally identifiable information or any other information protected by any Confidentiality or Privacy Standards or Company Policies that you have access or knowledge of, including but not limited to any state or federal regulations including HIPAA.

 

SUPERVISORY RESPONSIBILITIES 

 

  • This role does not have supervisory responsibilities.

                 

SKILLS AND QUALIFICATIONS 

  • Bachelor's degree in Sports Management, Business Administration, or a related field required.
  • 6+ years of professional experience in team administration, sports operations, travel management, player services, or a related field.
  • Strong knowledge of Major League Soccer operational policies, roster regulations, travel procedures, and league requirements.
  • Demonstrated ability to interpret and apply MLS policies, roster regulations, travel requirements, and operational procedures while exercising independent judgment in resolving operational issues.
  • Experience coordinating domestic and international team travel and logistics.
  • Experience managing player administration, onboarding processes, league compliance requirements, and professional sports operations.
  • Ability to exercise independent judgment and decision-making in a fast-paced professional sports environment.
  • Strong project management skills with the ability to manage multiple high-priority initiatives simultaneously.
  • Exceptional organizational, communication, and relationship management skills.
  • Strong attention to detail, responsiveness, accountability, and discretion.
  • Proficient in relevant operational systems, including TeamWorks, Workday, MLS University, Duo Security, and other related platforms.
  • Conversational Spanish preferred.
  • Ability to travel domestically and internationally and work a flexible schedule, including evenings, weekends, holidays, and extended travel periods as required by the team schedule and business needs.
  • Ability to work independently while managing multiple high-priority operational initiatives simultaneously.
