Your role:
To provide efficient and effective administrative support to the Global Equities Investment team.
Key Responsibilities:
Provide support to the investment team with all aspects relating to the arranging of meetings and events for the team including preparation of travel itineraries and arranging accommodation; organisation of meeting rooms, participants, facilities, refreshments; efficient and timely production and circulation of agendas and minutes. Greet and deal with visitors courteously and efficiently
Support the investment team with administrative requirements, including collating, preparing and circulating documents, minutes of meetings, presentations and spreadsheets to support the investment process accurately, promptly and in line with company guidelines
Potential for diary management of specific team members, providing first line response to queries as far as is possible, or directing responses to other members of the team
Manage electronic expense claims, dataroma reports and purchase orders for the team and other day to day administrative tasks including maintenance ofVerity, biographies/photos, facilities and office supplies
Maintain quarterly gifts and benefits returns for the team, and support the admin of CPD activity as required, in line with Compliance requirements
Provide ad hoc support for wider Henley Investment team initiatives as required
What you can bring:
Previous relevant secretarial experience ideally within the investment management / financial services industry
Proficient in the use of PC software including Word, Excel, PowerPoint, Outlook, and any other packages as required
Self-motivated, highly organised with good attention to detail
Excellent written and oral communication skills
Confident in dealing with people at all levels
Ability to handle sensitive information, display tact and diplomacy and maintain confidentiality
Pragmatic, works well as part of a team
Flexible and able to respond effectively to variations in workload
Ability to remain calm under pressure
