About the Role

As a Talent Programs Coordinator at Rune, you will play a critical role in helping us attract, engage, and hire the exceptional people needed to accomplish that mission. Working at the intersection of recruiting, operations, and executive support, you will help create a world-class candidate experience while enabling our leadership team to operate at maximum effectiveness.

You'll join us in our mission to bring 21st-century software to the sustainment domain—modernizing inventory management, transportation optimization, and predictive maintenance with state-of-the-art technology. As one of the first touchpoints for many candidates, you'll help shape how top talent experiences Rune while building the operational systems that allow our team to scale quickly and efficiently. You'll work closely with recruiters, hiring managers, company leadership, and our co-founders to ensure that hiring and business operations run seamlessly.

As a Talent Programs Coordinator, you will own the coordination and execution of critical recruiting and leadership operations that keep Rune moving forward. From managing complex interview schedules and delivering a high-touch candidate experience to supporting executive calendars and company-wide initiatives, you'll serve as a trusted operational partner across the organization. We're looking for someone who thrives in fast-paced environments, loves bringing order to complexity, and takes pride in creating exceptional experiences for candidates, teammates, and leaders alike.

What You’ll Do

Interview Coordination & Candidate Experience

  • Schedule phone, virtual, and onsite interviews across multiple teams and time zones.

  • Serve as the primary point of contact for candidates throughout the interview process.

  • Ensure candidates receive timely communication, interview details, and preparation materials.

  • Coordinate travel arrangements and onsite logistics when required.

  • Deliver a high-touch, professional, and welcoming candidate experience.

Recruiting Operations

  • Maintain accurate candidate records and workflows within the Applicant Tracking System (ATS).

  • Track interview feedback and ensure timely completion by interviewers.

  • Support offer process logistics and onboarding coordination.

  • Monitor recruiting metrics and help maintain recruiting dashboards and reports.

  • Assist with job posting management across recruiting platforms.

  • Support recruiting events, university recruiting initiatives, and networking activities.

  • Identify opportunities to improve recruiting processes and operational efficiency.

Founder & Executive Support

  • Support Rune's co-founders with calendar management, meeting coordination, and scheduling priorities.

  • Prepare meeting materials, agendas, and briefing documents to ensure leaders are well-prepared for internal and external meetings.

  • Coordinate logistics for customer meetings, recruiting activities, leadership offsites, and company events.

  • Track action items and follow-ups from key meetings as needed.

  • Help establish scalable executive support processes as the company grows.

  • Serve as a trusted operational partner who helps maximize leadership effectiveness and focus.

Cross-Functional Partnership

  • Partner closely with recruiters, hiring managers, and leadership to keep hiring processes moving efficiently.

  • Coordinate interview panels and facilitate communication across stakeholders.

  • Build strong working relationships across engineering, product, business, and operations teams.

  • Help create systems and processes that scale with company growth.

Administrative Support

  • Manage recruiting and leadership calendars and scheduling priorities.

  • Prepare candidate materials and interview packets.

  • Assist with recruiting-related projects and special initiatives as the company grows.

  • Handle a variety of operational and administrative tasks in support of recruiting and company leadership.

Qualifications
  • 1–2 years of experience in recruiting coordination, recruiting operations, executive assistance, HR, office management, or a related role.

  • Exceptional organizational and time-management skills.

  • Strong attention to detail and ability to manage multiple priorities simultaneously.

  • Excellent written and verbal communication skills.

  • Experience managing calendars and coordinating schedules across multiple stakeholders.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proficiency with Google Workspace, Microsoft Office, or similar productivity tools.

  • A proactive, resourceful mindset and willingness to take ownership of problems and see them through to completion.

Desired Qualifications
  • Experience supporting founders, executives, or senior leadership teams.

  • Experience supporting recruiting in a high-growth startup or technology company.

  • Familiarity with ATS platforms such as Ashby, Greenhouse, Lever, or similar systems.
