Job Description

Vantiva is seeking a highly skilled System Administrator to manage our COUPA/SAP S4 HANA system, the primary platform for Vantiva’s procure-to-pay (P2P) process. This role involves supporting users on daily requests, performing regular data cleansing, leading site deployments, supporting P2P transformation initiatives, managing relationships with internal and external stakeholders, driving system and process improvements, and providing necessary technical support to ensure optimal system performance and efficiency.

Key Responsibilities:

1. System Support and Maintenance:
   • Support users on daily requests related to the COUPA/SAP S4 HANA system and the procure-to-pay process.
   • Assist key internal stakeholders from the master data team, finance team, indirect sourcing team, IT team, etc., in implementing required changes in the COUPA/SAP S4 HANA system.
   • Monitor and manage the performance of COUPA/SAP S4 HANA systems to ensure high performance and availability.
   • Provide technical support and troubleshooting for any COUPA/SAP S4 HANA system malfunctions.
   • Install, configure, and manage all system upgrades and patches.
2. Data Management:
   • Assist the indirect sourcing team and other key stakeholders in performing regular cleansing of master data and transactional data.
   • Ensure the security of COUPA/SAP S4 HANA systems and data by implementing appropriate security measures as requested by Vantiva's data security policy and IT department.
3. Process Improvement and Transformation:
   • Lead the deployment of new company sites and support any company transformation initiatives related to the procure-to-pay process.
   • Act as the primary lead in system migration programs.
   • Monitor the efficiency of the entire procure-to-pay process and support the business in resolving delayed actions from users, such as requisitions pending approval or POs pending goods receipts.
   • Drive system and process improvements to enhance efficiency and effectiveness.
   • Translate business needs into functional requirements and actionable plans, and lead their execution.
4. Stakeholder Collaboration:
   • Support internal customers from worldwide locations and collaborate with cross-functional stakeholders in a multi-cultural environment.
   • Manage relationships with external service or catalog providers, such as the COUPA support desk and Amazon Business.
5. Documentation:
   • Prepare and maintain comprehensive system documentation, including technical specifications, data mapping, program logic, and flowcharts.
6. Communication and Training:
   • Conduct necessary training for internal users and maintain up-to-date training materials.
   • Maintain the SharePoint website used to share information with user communities, such as commodity lists and standard payment terms.
   • Communicate with users regarding any updates to the system or processes.

Qualifications

• Bachelor’s Degree in Information Technology, Computer Science, or a related field.
• Minimum of 3+ years of experience in P2P system administration.
• Extensive experience with Coupa P2P solution and SAP S4 HANA administration.
• Preferred previous experience with external catalog providers (e.g., CDW, Amazon Business).
• Strong business understanding and the ability to translate business needs into functional requirements.
• Proficiency in data analysis and reporting tools.
• Experience in project management and the ability to lead cross-functional projects.
• Familiarity with system integration and migration processes.
• Knowledge of industry best practices in P2P and procurement.
• Strong organizational and time management skills.
• Exceptional problem-solving skills and a supportive approach towards internal customers.
• Proactive mindset, with the ability to anticipate customer needs and take preventative actions.
• Ability to work effectively with multiple stakeholders in a multi-cultural environment.
• Capability to deliver performance and results in a frequently changing environment.
• Excellent communication skills and fluency in English, both written and verbal.
