Position Opportunity
The Supplier Compliance Coordinator supports Alamance Foods' supplier and ingredient compliance program by coordinating documentation, supplier onboarding requirements, Certificates of Analysis (COAs), and compliance records for raw materials and ingredients.
Working closely with Compliance, Quality, Food Safety, and Supply Chain, this position helps ensure required supplier and ingredient documentation is complete, accurate, and maintained in accordance with AFI's food safety and quality requirements.
The Coordinator will be trained on AFI's food manufacturing processes, supplier approval procedures, and the TraceGains supplier management platform. This position is well suited for a recent graduate or early-career professional with a foundation in food science, laboratory sciences, food safety, quality, or a related field who is interested in developing a career in food manufacturing compliance.
Essential Duties & Responsibilities
Supplier & Ingredient Administration
- Coordinate the collection and maintenance of documentation required for new and existing suppliers, ingredients, and raw materials
- Support the supplier and ingredient onboarding process following initial partnership and supplier selection by Supply Chain
- Collect and organize specifications, allergen information, food safety certifications, audit documentation, Letters of Guarantee, questionnaires, and other required records
- Review documentation for completeness and identify missing or expired requirements
- Follow up with suppliers and internal stakeholders regarding outstanding documentation
- Maintain accurate supplier and ingredient approval records
- Support periodic documentation renewals and ongoing supplier compliance activities
TraceGains Administration
- Develop proficiency in the TraceGains supplier management platform
- Create and maintain supplier, ingredient, and compliance records within TraceGains
- Issue and monitor supplier document requests and questionnaires
- Maintain current supplier documentation and monitor upcoming expirations
- Support TraceGains workflows and supplier onboarding activities
- Assist suppliers and internal users with routine system questions
- Maintain data accuracy and completeness within the system
- Generate routine reports and documentation as requested
COA & Documentation Management
- Coordinate the collection, organization, and maintenance of supplier Certificates of Analysis (COAs)
- Compare COAs to established specifications and documentation requirements
- Identify missing information or potential discrepancies and escalate concerns to appropriate Quality or Food Safety personnel
- Maintain accurate and accessible COA records
- Assist with document retrieval for customer, certification, regulatory, and internal audits
Cross-Functional Support
- Partner with Supply Chain, Quality, Food Safety, R&D, Laboratory, and Operations throughout supplier and ingredient onboarding
- Communicate documentation status and outstanding requirements to appropriate stakeholders
- Spend time within manufacturing and laboratory environments to develop an understanding of AFI's products, ingredients, processes, and food safety systems
- Support continuous improvement of supplier documentation and onboarding processes
- Perform other related duties as assigned
Education
- Bachelor's degree in Food Science, Biology, Chemistry, Microbiology, Food Safety, or a related scientific discipline preferred
- Associate's degree with relevant laboratory, quality, or manufacturing experience may be considered
- Recent graduates with relevant academic, laboratory, internship, or co-op experience are encouraged to apply
Experience
- Previous professional experience is not required for candidates with relevant education
- Internship, co-op, academic laboratory, Quality Assurance, Quality Control, food safety, or manufacturing experience preferred
- Food or beverage manufacturing experience preferred but not required
- TraceGains experience is a plus but not required; training will be provided
