Based in New York City, the Supervisor, Information Governance Operations will help build a dedicated data transfer function to govern the movement of data into and out of the firm. The role has a build phase and an operating phase. In the build phase, the Supervisor establishes the intake point, documents procedures, takes over transfer execution from Onboarding and Offboarding, stands up the reporting that supports capacity planning, and carries the transfer queue personally. In the operating phase, the Supervisor coordinates the daily workflow of the IG Operations team members while processing transfers, handling escalated requests and working as a hands-on member of the team.
This role reports to the Senior Manager, Information Governance.
Responsibilities include:
Workflow Coordination and Coverage
- Coordinate the daily workflow of the IG Operations team members, including scheduling and coverage planning.
- Run the shift handoff protocol across three time zones, confirming that open requests transfer cleanly at each shift boundary and that no active request stalls overnight.
- Review the team’s work for accuracy, completeness, and adherence to documented procedures.
- Participate in the hiring process for the team, including screening and interviewing candidates.
- Train team members on firm systems, transfer procedures, and the documented intake criteria.
Queue and Service Delivery
- Operate the single intake point for data transfer requests; triage, prioritize, and assign every request received.
- Balance load across the team so that a single large departure or arrival does not stall work queued behind it.
- Confirm that every accepted request is progressing, and intervene on requests that are blocked, aging, or at risk.
- Monitor and report on service levels for transfer completion once queue data supports defensible targets.
- Carry a share of the transfer queue directly on an ongoing basis.
Governance and Escalation
- Handle exceptions and novel cases escalated by team members, including approval triggers, conflicts questions, applicable regional requirements, and client consent adequacy.
- Identify when a transfer requires review by the Office of General Counsel, Conflicts, or Information Security, and route it for that review.
- Maintain the documented intake criteria and recommend revisions as regulation, client engagement terms, and firm policy change.
- Serve as the firm's point of contact for departing and arriving partners on data transfer matters, maintaining strict confidentiality in situations that are frequently competitively sensitive.
- Confirm that chain of custody documentation is complete and defensible for every transfer processed by the team.
Function Build and Reporting
- Establish the intake system of record and the queue reporting that supports capacity planning, service level measurement, and future staffing decisions.
- Document standard operating procedures for transfer execution and information governance operations work.
- Take handoff of transfer execution from Onboarding and Offboarding, transitioning that team to a requesting function while maintaining continuity of in-flight requests.
- Plan team capacity for the retirement of legacy platforms, including ShareFile, and for the remediation volume those retirements generate.
- Report queue volume, cycle time, exceptions, and capacity to the Senior Manager, Information Governance on a defined cadence.
- Support evaluation, selection, and implementation of a matter mobility or data transfer platform, and carry out the resulting operational workflows.
- Coordinate and perform the team’s operations work between transfer surges, including records disposition, iManage workspace remediation, and migration off deprecated platforms.
- Additional duties as assigned.
Qualifications:
- Clear written and verbal communication; able to engage directly with partners and senior firm leadership under time pressure.
- Strong organizational skills; able to hold accountability for a queue of concurrent requests at varying stages.
- Judgment sufficient to resolve escalated governance questions against documented criteria and to recognize which matters require Office of General Counsel or Information Security involvement.
- Ability to design and document a process where none exists, including intake criteria, standard operating procedures, and operational reporting.
- Discretion and neutrality in handling attorney departures and arrivals.
- Sound judgment around confidentiality obligations and data handling standards in a legal environment.
Experience:
- 5–8 years in legal operations, information governance, records management, litigation support, or a closely related function at a law firm or legal services organization.
- Proficiency with at least one enterprise DMS platform, including document profiles, workspace structures, folder taxonomy, and import/export workflows; iManage strongly preferred.
- Managing large, multi-format file sets (PST files, compressed archives, network shares) with an understanding of bulk-transfer integrity and metadata preservation risks.Working knowledge of secure file transfer, encryption standards, and data handling practices.
- Familiarity with e-discovery and preservation concepts — EDRM, chain of custody, legal hold, cross-border data handling.
- Collaboration and file-sharing platforms such as Box, ShareFile, SharePoint, HighQ, or a VDR.
- Matter mobility, lateral transfers, or attorney departure workflows.
- Managing or working within a distributed or cross-time-zone team.

The annual compensation range for this position is $110,000-125,000.The salary offered within this range will depend upon qualifications and other operational considerations.
