Job Summary
The purpose of this role is to support the planning and the implementation of academic activities under the coordination of the of the department contact person. The candidate will be actively involved in organizing academic processes, while also playing a key role in managing relationships with faculty, students, programme leaders, and various school departments.
This position requires a good project management mindset, as the candidate will be expected to oversee multiple parallel tasks, manage priorities and deadlines, and ensure smooth coordination between different stakeholders. Excellent time management and prioritization skills are essential, as well as the ability to manage workloads while respecting institutional timelines.
Key Responsibilities
- Support the Supervisor in coordinating the teaching assignment process and designing course timetables, ensuring alignment with institutional procedures and consistency across programs.
- Support the construction, development, and updating of lessons and extracurricular schedules, and ensure their timely and accurate delivery to both faculty and students.
- Manage special courses (e.g., online Foundation, or joint courses with partner institutions), ensuring delivery follows project timelines and quality standards.
- Support in applying proper methodologies for academic data collection and analysis, including KPIs (e.g., health check reports), student progression data, and student satisfaction surveys (from set-up and scheduling to monitoring and reporting).
- Coordination of the use and allocation of classrooms and laboratories for lessons, academic activities, and events (industry projects, talks, special lectures etc), suggesting new management tools and approaches to optimize resources.
- Support in monitoring student progression and retention, ensuring accurate and timely updates of internal tracking tools and compliance with academic KPI-related procedures.
- Contribute to the centralized management of documentation for students in exceptional circumstances, contributing to the development and tracking of personalized study plans when necessary.
- Manage direct interactions with students and faculty, providing clear and accurate responses regarding academic procedures and institutional regulations. This requires an in-depth and constantly updated knowledge of policies, ensuring consistency, transparency, and efficiency in all communications.
- Contribute to the design and implementation of academic databases, ensuring that structure and functionality support effective academic project tracking and decision-making.
Skills and Education
- Min 3 year of experience in the academic activities and processes field – higher education or universities;
- Office suit proficiency, in particular Excel;
- English proficiency;
- Precise and organized person;
- Team player;
- Hyperplanning knowledge is a plus.
