Fox Subacute is seeking a highly organized and dependable Staffing Coordinator to manage daily and ongoing staffing needs for our long-term care facility. The Staffing Coordinator will be responsible for maintaining appropriate staffing levels, preparing schedules, coordinating coverage for call-outs and vacancies, and working closely with nursing leadership and staff to ensure continuity of resident care.

The ideal candidate is detail-oriented, responsive, professional, and comfortable working in a fast-paced healthcare environment.

Key Responsibilities
  • Develop, maintain, and adjust daily, weekly, and monthly nursing staff schedules.
  • Coordinate staffing for all shifts, including weekends and holidays.
  • Monitor staffing levels and identify coverage needs based on census and facility requirements.
  • Respond promptly to call-outs, absences, and last-minute staffing changes.
  • Contact qualified employees and agency staff to arrange shift coverage when needed.
  • Maintain accurate staffing records, schedules, and attendance information.
  • Communicate schedule changes clearly to nursing staff and management.
  • Work closely with the Director of Nursing, and other leadership to address staffing concerns.
  • Track overtime, open shifts, agency utilization, and staffing patterns.
  • Assist with maintaining compliance with facility staffing requirements and applicable regulations.
  • Maintain confidentiality of employee and resident information.
  • Provide professional customer service to employees while enforcing scheduling policies consistently.
  • Perform other duties related to staffing and scheduling as assigned.
Qualifications
  • High school diploma or equivalent required; healthcare or business-related education preferred.
  • Previous experience in staffing/scheduling REQUIRED.
  • Experience in a long-term care, skilled nursing, assisted living, or healthcare setting is strongly preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with Microsoft Office and scheduling software; experience with OnShift, Intelycare, and ShiftKey is a plus.
  • Ability to work independently and make sound decisions regarding staffing coverage.
  • Professional, dependable, and able to maintain confidentiality.
  • Knowledge of nursing staff roles, shift requirements, and long-term care operations is preferred.
