Job Summary 

The Staffing Coordinator is responsible for coordinating nursing services for specialty pharmacy, home infusion, and ambulatory infusion patients. This position serves as a central point of communication between patients, nurses, agencies, pharmacy personnel, intake staff, and clinical leadership to ensure timely and appropriate staffing of patient care services.
This role requires the ability to manage multiple active patient cases simultaneously, review and interpret clinical and operational documentation, prioritize competing demands, maintain accurate documentation, and follow established workflows while exercising sound judgment and attention to detail. The Staffing Coordinator is expected to work independently, maintain strong organizational skills, and ensure continuity of communication throughout the staffing process.

Schedule Details

Location: Fully Remote 

Hours: Monday-Friday, 8:30AM-5:00PM CST 


Duties and Responsibilities 

  • Collaborates with the Director of Nursing to facilitate and oversee care coordination, communicate patient care information to internal and external staff, and ensure information and orders are updated and complete.
  • Review patient records, orders, intake documentation, and staffing requirements to facilitate nursing placement.
  • Utilize multiple systems and tracking tools to manage active staffing cases and ensure timely follow-up.
  • Coordinate nursing services through AmeriPharma nurses, contracted agencies, and external staffing resources according to established staffing workflows.
  • Maintain accurate and timely documentation of staffing activities within company systems.
  • Monitor staffing progress and proactively address barriers that may impact patient care delivery.
  • Communicate effectively with patients, nurses, agencies, pharmacy staff, intake personnel, and clinical leadership.
  • Escalate staffing concerns, documentation deficiencies, scheduling conflicts, and patient care concerns according to company procedures.
  • Maintain ongoing tracking and follow-up of multiple active patient cases through completion of staffing activities.
  • Ensure compliance with departmental procedures, documentation standards, and regulatory requirements.
  • Demonstrate accountability for assigned cases and follow-through on all required actions.\
  • Additional duties and responsibilities in different areas of the department on an as-need basis or determined by management.
  • Foster a culture of accountability, integrity, collaboration, and service excellence.
  • Other duties as assigned

  • Proficiency in electronic medical record systems, scheduling platforms, spreadsheets, and Google applications.
  • Ability to navigate multiple systems simultaneously while maintaining documentation accuracy.

Required Qualifications

  • High school diploma or equivalent.
  • Experience as a staffing/scheduling coordinator or in a similar role.
  • General knowledge of medical terminology.
  • Access to a reliable high-speed internet connection and a dedicated distraction free workspace.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to multitask and operate within several different computer software systems.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Ability to function well in a high-paced and at times stressful environment.
  • Google Suite (i.e. Google Docs, Google Sheets, Google Mail, etc.)
  • Experience in a medical or healthcare setting, with knowledge of medical terminology.

Education and Experience

  • Associate degree preferred; equivalent healthcare, administrative, or operations experience may be considered.
  • Minimum of 2 years of healthcare coordination, scheduling, staffing, patient services, medical office, infusion, pharmacy, or related experience preferred.
  • Experience working in a fast-paced environment requiring multitasking, prioritization, and attention to detail preferred.
  • Experience working with electronic medical records or healthcare software systems preferred.
