Position Summary

Smart Source is seeking an experienced, detail-oriented Senior Staff Accountant to join its Finance & Accounting team. This role will take ownership of significant accounting areas across cash, billing, accounts receivable, accounts payable, inventory, and the general ledger. The Senior Staff Accountant will lead assigned portions of the month-end close, prepare and review account reconciliations, analyze financial activity, support audits, and help ensure transactions are recorded accurately and consistently.

The position is well suited for an experienced accounting professional who can work independently, exercise sound judgment, manage competing deadlines, and connect operational activity to its financial-statement impact. The individual will work closely with the Corporate Controller, provide guidance to less-experienced accounting team members, and partner with employees across the organization, including remote and satellite offices.

Smart Source is transitioning its ERP environment from DemandBridge to Microsoft Dynamics 365 Business Central. Experience with either platform is helpful but not required; the successful candidate will be expected to take an active role in testing, reconciliation, data validation, process design, control development, and documentation associated with the transition.

Key Responsibilities 

General Ledger & Month-End Close

  • Independently prepare, review, and post journal entries and supporting documentation for assigned accounting areas.
  • Own monthly balance sheet and general ledger account reconciliations for assigned areas, research variances, and resolve reconciling items on a timely basis.
  • Lead assigned portions of the month-end and year-end close, monitor completion of required tasks, and ensure work is performed in accordance with established deadlines and accounting policies.
  • Prepare and review schedules, analyses, and supporting documentation for management reporting, external audits, and other financial reporting requirements

Cash, Billing & Transaction Processing

  • Prepare and record daily cash deposits and cash receipt activity.
  • Review bank reconciliations, investigate outstanding or unusual items, and coordinate timely resolution.
  • Review summary billing, billing corrections, and related adjustments for accuracy, completeness, and appropriate accounting treatment.
  • Post and reconcile credit card transactions for designated customers.
  • Review customer and vendor master-data activity and help enforce appropriate documentation, approval, and segregation-of-duties controls.
  • Provide technical and operational accounting support across accounts receivable, accounts payable, cash disbursements, and related transaction cycles, including resolution of complex or unusual items.

Inventory & Cost Accounting

  • Own monthly inventory reconciliations between operational systems, subledgers, and the general ledger, including analysis and resolution of differences.
  • Analyze inventory, freight, warehouse, and cost discrepancies; determine root causes; and coordinate corrective action with operational teams.
  • Partner with the Inventory Manager to ensure warehouse, freight, and other applicable charges are properly assigned to the appropriate customer, order, or account.
  • Prepare and review inventory-related month-end entries, adjustments, reserve analyses, schedules, and audit documentation.

Controls, Systems, & Process Improvement 

  • Maintain and improve documented accounting policies, procedures, reconciliation standards, and internal controls for assigned processes.
  • Identify recurring accounting or process issues, recommend solutions, and lead implementation of improvements that increase accuracy, efficiency, control, and consistency.
  • Serve as a key accounting resource during the transition from DemandBridge to Microsoft Dynamics 365 Business Central, including testing, reconciliation, data validation, issue resolution, process design, and documentation.
  • Use advanced Excel and other reporting tools to analyze large data sets, compare system outputs, investigate discrepancies, and support accounting and operational decisions.
  • Provide guidance and review support to less-experienced accounting team members and perform additional accounting projects assigned by the Corporate Controller.

Qualifications

Required/Expected

  • Bachelor's degree in Accounting or Finance required; an equivalent combination of education and substantial relevant accounting experience may be considered.
  • Approximately 4-7 years of progressive accounting experience, including meaningful responsibility for general ledger accounting, reconciliations, and month-end close.
  • Strong working knowledge of general ledger accounting, accrual accounting, and U.S. GAAP.
  • Demonstrated experience independently preparing and reviewing account reconciliations, journal entries, and close schedules, with exposure to accounts receivable, accounts payable, cash, billing, or inventory accounting processes.
  • Advanced Microsoft Excel skills, including complex formulas, lookups, pivot tables, data validation, large-data-set analysis, and multi-source reconciliations.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities and deadlines.
  • Clear written and verbal communication skills and the ability to collaborate effectively across departments and locations.
  • Sound judgment, professionalism, and discretion when handling confidential financial information.

Preferred

  • Experience with Microsoft Dynamics 365 Business Central, DemandBridge, or another ERP/accounting platform; ERP implementation or conversion experience is strongly preferred.
  • Inventory and cost accounting experience in a distribution, fulfillment, manufacturing, or multi-location business environment.
  • Experience owning portions of a monthly financial close and supporting an external financial statement audit.
  • Experience with process improvement, ERP implementation, internal controls, accounting procedure documentation, or review of work prepared by other team members.
