Northmarq is seeking a Sr. Office Assistant who is reliable, professional, and well-organized. This individual is responsible for Bloomington, MN corporate headquarters office support, addressing employee and visitor needs, coordinating events, and general support as needed. Will develop strong relationships with executives, business partners and cross-functional teams to support efficient communication and coordination across the organization.
*This position is an in-office position, with an immediate start date.

Specific ResponsibilitiesReception & Front Desk
- Serve as the first point of contact for all visitors, including vendors, candidates, and clients, delivering a professional and welcoming experience.
- Manage the reception area and front desk operations, including greeting visitors, routing incoming calls, and keeping the space clean, organized, and presentable.
- General administrative support for in-office events and meetings, including catering and invoice support.
Office & Facilities Management
- Manage office supply inventory, including purchasing, tracking, and restocking.
- Ensure break rooms, supply closets, conference rooms, and common areas are clean, organized, and properly stocked.
- Coordinate with vendors to source quality, cost-effective supplies and services, and maintenance of office equipment to ensure proper functioning.
- Manage incoming and outgoing shipments, mailings and material tracking for various teams.
Business Support & Partnership
- Partner with leaders to manage priorities and updates regarding the corporate office.
- Provide support to the Human Resources team including running ad-hoc reports, immigration processes, new hire orientation, and career fairs.
- Partner with Marketing to coordinate vendor-supplied materials.
- Develop and maintain org charts and the corporate headquarters floorplan.
Work Experience: 5+ years of office administration experience serving an office of 100+ employees, preferably a corporate headquarters.
Demonstrated Technical/Professional Competencies:
- Strong Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint
- Willingness to become a public notary
- Ability to maintain sensitive and confidential information
- Exceptional organization, communication, and problem-solving skills
- Respond to a range of requests while exercising sound judgment and discretion
- Strong work ethic and ability to handle multiple projects and assignments
- Demonstrated business communication skills – including verbal and written
- Ability to work in a team environment supporting multiple staff members

Northmarq carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The salary range for the Sr Office Administrator position is $28.84 to $36.06 per hour ($60,000 - $75,000 annually). This range is a good faith estimate and the actual compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
