Job Description
Responsibilities primarily include scheduling meetings; reading and responding to emails and requests on behalf of leader(s); preparing presentations, internal and external communications, travel arrangements, expense reports, and invoices; and coordinating department programs, events, and other initiatives. Educate self and department(s) on technology updates and identify opportunities to improve processes, workflows, and operational efficiency. Respond to ad hoc requests, provide project coordination and logistical support, and exercise independent judgment in prioritizing work and acting on behalf of leader(s).Key Responsibilities
- Independently manage leader(s) calendar and meeting prioritization. Schedule meetings and/or events by interacting with internal/external clients/partners to coordinate calendars, accommodations, meeting materials and supplies. May read and respond to emails and requests on behalf of the leader; ensure leader is informed of pending requests or requests where follow up is required.
- Educate department on technology updates (conferencing capabilities, upgrades, etc.); respond to ad hoc requests (filing, copying, etc.) and provide project/program support representing the team (researching issues or questions about policies or practices, identify opportunities for improvements and assist in implementing them for operational efficiency, coordinate a conference, etc.).
- Prepare expense reports, invoices, presentations, internal/external communication, travel arrangements, and other misc. reports.
- Coordinate/administer department programs (recognition, timekeeping, budgets, supply management, etc.), events or conferences. May provide leadership to direct reports including coaching, mentoring and annual performance reviews.
- May provide training and/or mentoring to staff within department or business unit. May back-up other administrative assistants.
Required Qualifications
- Associate (2-year) degree or equivalent.
- 3-5 years of relevant experience required.-
- Proficiency w/ computer programs (MSWord, Excel, PowerPoint, Access) and administrative programs (Outlook, Ariba Buyer, XMS, Concur, etc.).
- Ability to multi-task, quickly change direction and independently prioritize work in order to support multiple people.
- Ability to anticipate needs and use independent judgement given limited availability of leader.
- Ability to exercise discretion due to accessing and handling sensitive information.
Preferred Qualifications
- Bachelors degree preferred
- Ability to utilize and learn existing/new technologies and support the implementation of tools and workflow improvements that drive business outcomes.

In-Office Collaboration
We are a client-centric, relationship-based business. Working together, in-person, is foundational to how we achieve results. By fostering a culture of face-to-face collaboration, idea sharing, productivity and personal connection, we deliver for our stakeholders — clients, advisors, employees and shareholders. Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
Base Pay Salary
The estimated base salary for this role is $54,000- $61,000 / year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
