Osaka Gas Specialist, Asset Management (OGAM) Services encompasses vendor management, procurement, document control, and contract control for OGAM and its managed assets.

Services Specialist will be responsible for managing the vendor risk verification application, vendor intake coordination, vendor contract management, vendor purchase requisitions, management of document control tools and monitoring of contract lifecycles, renewals and expirations at all Osaka Gas Asset Management (OGAM) assets.


The Specialist, OGAM Services is expected to operate as a proactive and analytical contributor, not only executing assigned tasks, but also identifying risks, inefficiencies, and opportunities for improvement across vendor management, procurement, compliance, and document control processes.

This role requires independent judgment, data-driven analysis, and continuous improvement mindset in managing third-party performance and internal workflows.


Essential Job Functions

·        Manage OGAM preferred vendor list and maintain a consolidated list of vendors for OGAM within the Asset Computerized Maintenance Management System (CMMS) software, Maximo. Interact with vendors and third parties to gather essential information for use with OGAM and OGAM assets.

  • Manage procurement and invoice processing responsibilities within the Asset Computerized Maintenance Management System (CMMS) software Maximo.
  • Apply analytical thinking to vendors, procurement, and compliance activities to identify issues, trends, and process improvement opportunities.
  • Coordinate vendor intake and ongoing monitoring within the vendor risk and performance management platform (NAVEX) for OGAM assets.
  • Monitor the risk profile for all vendors in the risk management tool and coordinate with internal OGAM and Legal Compliance Office when vendor risks surface.
  • Coordinate vendor data across OGAM Accounting and Procurement software platforms.
  • Coordination of Benchmark Gensuite Tool enhancements to support tasks for Osaka Gas Asset Management compliance activities. This will include coordination and system administration of the Benchmark Gensuite Calendar to track compliance tasks and manage user accounts across all OGAM assets.
  • Manage storage and share Project Documents improvements based on the document management system (DMS) across all OGAM assets and where applicable with third parties. Project Documents include, but are not limited to drawings, manuals and reports.
  • Support development of new procedures and updating existing OGAM policies and procedures for assigned responsibilities. 
  • Provide additional Services as necessary to support OGAM functions including supporting due-diligence efforts for assigned responsibilities.


Responsibilities may include:

  • Assist vendors and internal OGAM stakeholders in maintaining the vendor risk verification platform.
  • Assist with the risk management and procurement application configuration and implementation at OGAM assets.
  • Assist with management of CMMS system and interfacing with multiple stakeholders involved in usage of the system.
  • Assist with management of DMS system and interfacing with multiple stakeholders involved in usage of the system.

Requirements

Education

  • Associate or Bachelor’s degree in business or equivalent work experience

Preferred Experience

·        At least 5 years of related industry experience

·        Proficiency Microsoft Excel, PowerPoint, and Word.

·        Proficiency in Maximo, Sage and Navex RiskRate a plus.

·        Basic project management experience a plus.

·        Possess analytical, organizational, and reporting skills.

·        Work in a multi-cultural office environment.

Physical

·        Typical office environment with normal office temperature and noise levels

·        Approximately 5-10% travel to plants, partners, vendors, Osaka offices, etc.

·        The employee will work in accordance with the OGUSA Hybrid Work Policy, primarily based at the Osaka Gas NY Office.

·        The position follows the Company’s standard work schedule in accordance with Company policy; additional hours, including overtime for non-exempt employees, require prior supervisory approval.

·        The job may require extended sitting or standing, and the use of standard office equipment.

·        Minimal lifting of less than 15 lbs.
