The Role

CASTING COORDINATOR

Description

The ICON Studios Production team is seeking a Casting Coordinator for our Portland Studio. The successful candidate is a well-organized and highly efficient individual who is interested in supporting in E-Commerce casting and beyond. This role will be primarily focused on Kids casting, working with casting projects as needed outside of Kids space.

Duties include:

  • Reaching out to agents for packages and creating a spreadsheet with different packages for the Casting Manager to review
  • Sending selects to agents to coordinate casting times
  • On set morning check ins to ensure smooth and on set model arrival, fielding any questions
  • Partner with creative to intake and note casting feedback, making adjustments to future bookings as needed
  • Be able to negotiate rates and usage when applicable to support approved budgets
  • Assist on in-person castings: creating the schedule, setting up product, creating check in sheets
  • Maintaining internal database updated with agency info, sizing, contact info, link to portfolios as well as images and videos from the in-person castings / digital submissions
  • Creating spreadsheet with approved models for the season to then be uploaded into internal scheduling platform
  • Working with Casting Manager to check model availability and track in internal scheduling platform
  • Administrative support for billing, invoicing, and contracts
  • Intake and tracking of casting projects where needed
  • Anticipating needs of an everchanging e-commerce roster and beyond
  • Ensure all vendor studios have the rosters needed to successfully execute productions
  • Tracking, coding, and processing daily invoices
  • Attend team and organizational meetings as needed

Qualifications / Experience

  • Minimum 2 years production and/or casting experience required
  • Understanding of digital photography, production studio pace and efficiency
  • Flexible and able to adapt to last minute additions to schedules and changes in direction
  • Self-motivated, results oriented and well organized
  • Able to successfully manage multiple priorities against business goals
  • Exceptional verbal and written communication skills
  • Exceptional organizational skills
  • Proficiency in Airtable preferred
