POSITION PURPOSE: The Special Events & Development Coordinator is responsible for planning and executing the school's fundraising and community events while supporting annual giving initiatives and development operations. This position works closely with the Development team and other school departments to ensure successful fundraising, stewardship, and community-building activities.

PERFORMANCE ABILITIES:

  1. Essential Functions
  • Assist with planning and implementing the school's primary fundraising and special events, including An Evening of Elegance, the Vicky Hurst Holy Trinity Golf Tournament, donor recognition events, Grandparents Day, Homecoming Street Party, Graduation, Blue and Gold Club and other school initiatives.
  • Coordinate event logistics including timelines, sponsorships, and event-day operations.
  • Main point of contact with event vendors, ensuring timely payment, accepting deliveries and coordinating permits as needed
  • Assist with event registration, auction platforms and event materials
  • Work with Event Chairs and Parent Volunteers
  • Assist with planning and execution of the Holy Trinity Fund and other annual giving initiatives.
  • Support the Week of Giving campaign through project coordination, stewardship activities, incentive fulfillment, and volunteer engagement.
  • Coordinate production and mailing of fundraising appeals, event invitations, donor communications, and stewardship materials.
  • Maintain accurate event and constituent records in Raisers Edge and other platforms as assigned.
  • Support fundraising and stewardship events through guest list management, registration coordination, program preparation, and administrative support.
  • Assist the Development team with special projects and other duties as assigned.

PHYSICAL REQUIREMENTS: While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle, and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces.  The noise level in the work environment is often loud.

Qualifications

QUALIFICATIONS:

  • Bachelor's degree preferred.
  • 2–5 years of experience in event planning, fundraising, development, hospitality, or related field.
  • Experience with fundraising events, volunteers, and donor relations preferred.
  • Experience with Blackbaud Raiser's Edge or similar donor database preferred.
  • Proficiency with Microsoft Office and Google Workspace.
  • Physically able to perform assigned duties.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent organizational, communication, and project management skills.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Experience coordinating vendors, sponsors, volunteers, budgets, and event logistics.
  • Ability to maintain accurate records and support fundraising campaigns and mailings.
  • Strong customer service, interpersonal, and relationship-building skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to maintain confidentiality regarding donors, students, and school information.

Skills Required

  • Bachelor's degree
