Hudson Institute seeks a special assistant to the president and CEO to assume principal day-to-day responsibility for managing the calendar of the CEO, while assisting the CEO, through administrative, research, and collaborative work, to fulfill his responsibilities. The job demands an individual who is highly organized, detail- and deadline-sensitive, technologically sophisticated, capable of developing close working relationships with individuals across the Institute, and comfortable balancing simultaneous and competing demands for time and attention. This is a full-time position based in Hudson Institute’s Washington, DC office reporting to the CEO.

Responsibilities

  • Supports the daily activities and scheduling of the President and CEO, including preparation for speaking engagements, conferences, meetings, and travel.
  • Handles external requests and coordinates with relevant staff for the CEO’s participation, involvement, support, and appearances, and delegates if appropriate.
  • Responds to requests made to the CEO, including phone calls, emails, and meetings.
  • Manages email flow to the CEO, exercising judgment in handling requests.
  • Seeks meetings with current and prospective donors, in association with the Institute’s development office.
  • Conducts research assistance and manages special projects for the CEO.
  • Prepares expense reports for the CEO’s office following the Institute’s reporting guidelines.
  • Plans and manages logistics around Hudson's three Board of Trustees meetings each year.
  • Collaborates continuously with senior management on identifying and meeting key objectives, tracking goals, deliverables, and following up with colleagues as needed.
  • Assists in the preparation and execution of special events and meetings at Hudson Institute.

Requirements

  • Commitment to Hudson Institute’s mission and supporting the work of the Institute’s scholars and staff.
  • General knowledge of and interest in Hudson’s core work areas: national security, foreign and domestic policy, and international affairs.
  • Undergraduate degree.
  • Three to four years of relevant experience.
  • Ability to work closely and effectively with others—including Hudson’s senior management, trustees, and other staff.
  • Superior writing, verbal, editing, and project management skills.
  • Ability to perform under pressure to support high-profile meetings. 
  • Meticulous attention to detail.
  • Experience in crafting policy-oriented correspondence—critical to increasing the visibility of the Institute among targeted constituencies.
  • Capacity to frame requests for meetings in a compelling manner, drawing on knowledge of policy and potential contact interest.
  • Ability to help organize high-profile meetings.
  • Demonstrated ability to handle complex and simultaneous tasks and assignments.
  • Commitment to acting with integrity and the utmost professionalism.
