Job Overview


PlanetArt is looking for a Sourcing & Quality Coordinator to support the company’s Sourcing & Quality department. The successful candidate will be providing operational and administrative support to the Sourcing & Quality department. Requires strong independent judgment, attention to detail, and the ability to manage multiple priorities within tight timelines.

PLEASE NOTE: Candidates much be local to or willing to relocate to the Woodridge area as we operate on a hybrid work model (3 days onsite, 2 remote)



What You’ll Do

Key Responsibilities


·       Sample Management

    • Track, communicate and manage samples through all development stages (1st sample through approved TOP)
    • Log, unpack, and distribute inbound samples same day; maintain a real-time tracking log
    • Prepare samples for product review, documenting all comments on sample tags
    • Monitor in-house samples across departments, ensuring timely returns and proper storage
    • Pack, label, and ship outbound samples; prepare commercial invoices and send tracking confirmations
    • Maintain organized TOP and PPS rooms with current samples and up-to-date logs
    • Conduct Personalization test runs as needed

·       Vendor & Stakeholder Management

    • Manage new vendor onboarding (Import, Domestic, Drop Ship) including legal agreements and WMS setup
    • Maintain a consistent follow-up and process to ensure a timely completion of all tasks required to complete the onboarding as per the needed deadline
    • Assign vendor codes and notify all internal partners upon completion
    • Build and maintain strong relationships with vendors, agents, and internal stakeholders
    • Under the supervision of the Sourcing Manager, manage all vendor communication to secure HTS classifications for all imported products and assist in classifications.

·       Reporting & Data

    • Manage and maintain current data reports; HTS Master Code, Master Packaging List etc.
    • Support High Jump updates and cross-functional accuracy

·       Any other duties which may be assigned from time to time.


Requirements

What You Should Have

Skills, Qualifications, and Requirements


  • Bachelor's degree or equivalent preferred
  • 2+ years relevant experience
  • Proficient in Microsoft Excel; SQL or Access a plus
  • Strong organizational, analytical, and communication skills both written and verbal
  • Knowledge of purchasing standards, product lead times, and seasonal buying preferred
  • International vendor experience a plus
  • Ability to work effectively and proactively in a fast paced, multi-tasked environment
  • Ability to work independently, strong problem-solving skills and attention to detail

Working Conditions

·       Work is performed in an office environment with low to moderate noise levels.

·       Occasional lifting of up to 35 pounds.

·       Position requires regular, continuous use of computer.

·       Position requires regular sitting and standing.

·       Position requires regular interaction with team members through the following methods: in-person, phone, Zoom, Slack, or email.

·       This is a hybrid position; employees are expected to be in the office three days per week (Monday, Tuesday, and Thursday) with the option of working remotely two days (Wednesday and Friday).

The compensation range for this position is $25 - $28 hourly rate.
