Job Description: Bell Properties, Inc. is currently seeking a dedicated and responsible On-site Manager to oversee one of our residential properties. The On-site Manager will be responsible for the day-to-day management of the property, including leasing, tenant relations, maintenance coordination, and administrative tasks. This role offers the opportunity for part-time hours and includes a free or reduced rent apartment as compensation.

Key Responsibilities:  

  1. Manage all aspects of the property, including leasing, tenant relations, maintenance, and administrative task to optimize efficiency, occupancy, and alignment of budgets. 
  2. Professionally advertise and show available units to prospective tenants, conduct thorough screening of applicants, and process lease agreements.
  3. Develop positive relationships with current tenants, address their concerns and inquiries promptly (24 – 72 hours), and enforce lease agreements and property rules.
  4. Coordinate and oversee maintenance and repair work, including scheduling contractors, obtaining bids, and ensuring timely completion of work orders.
  5. Conduct regular inspections of the property to ensure cleanliness, safety, and compliance with property standards and regulations.
  6. Handle tenants move-ins and move-outs, including conducting unit inspections, processing security deposit refunds, and coordinating unit turnovers.
  7. Maintain accurate records of rental payments, expenses, and maintenance activities, and prepare reports as needed.
  8. Assist with budget preparation and management, monitor property expenses, mitigate budget overages, ensure each department has real time feedback on the adherence to the budget, and identify opportunities for cost savings.
  9. Serve as the primary point of contact (along with Maintenance Supervisor) for emergency situations outside of regular business hours and respond promptly to emergencies as they arise.
  10. Lead team meetings every morning to ensure everyone is focusing on the best tasks for the day. 
  11. Supervise, train, manage, support, a staff of 4 Admin, 1 Maintenance Supervisor, and 11 maintenance technicians.  
  12. Conduct 30 / 60 / 90 day reviews with new hires and Human Resources. 
  13. Organize lease renewals, Move-Ins, Move-Outs, and other quarterly objectives.
  14. Respectfully and gracefully handle escalated resident relations. 
  15. Communicate regularly with property owner, regional manager, or group of advisors. 
  16. Perform other duties and responsibilities as assigned by management.

Requirements

  

  1. Bachelor’s degree in Business, Real Estate, Hospitality, Leadership, Communications, or similar (Preferred)
  2. CPM, PMP, or similar certifications are preferred. 
  3. 3 years previous experience in property management, leasing, or related field (Required)
  4. Minimum 2 years’ experience in an Assistant Property Manager, Property Manager, Office Manager, or similar role in a property management firm. 
  5. Strong communication and customer service skills, with the ability to interact effectively with tenants, negotiate with vendors, and lead team members.
  6. Strong knowledge of Affordable Housing compliance, including determining applicant eligibility; obtaining third-party income and asset verifications; calculating household income for program qualification; completing Tenant Income Certifications (TIC) or equivalent program documentation; submitting files to Compliance Specialists or Bond Administrators for approval; and completing compliance reports in accordance with the Community’s Regulatory Agreement. 
  7. Ensure the property is fully compliant with LIHTC regulations, including conducting recertifications, updating tenant files, and managing waitlists. 
  8. Coach vendors and team members to live up to the professional standards of Bell Properties.
  9. Organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
  10. Basic knowledge of property maintenance and repair procedures.
  11. Proficiency in basic computer skills, including Microsoft Office Suite and property management software (e.g., Yardi, Rent Manager).
  12. Ability to work independently with minimal supervision and make sound decisions in accordance with company policies and procedures.
  13. Valid driver's license and reliable transportation.
  14. Availability to work occasional evenings and weekends, and holidays as needed in emergency situations. 
  15. Ability to live on-site in a provided apartment unit as a condition of employment.
