POSITION SUMMARY

Impact Housing designs, manufactures, builds and operates its own buildings. Modules are produced by iManufacture in Yorba Linda, set and completed on site by iConstruct, and turned over to third-party property management. Each of those handoffs is an inspection gate, and each is a point at which a defect can pass from one vertical’s scope into another’s without a record of the condition it was in when it crossed.

The On-Site Coordinator closes that gap. The position owns the factual record of every warranty claim, construction deficiency and post-delivery defect across the owned portfolio and delivered third-party projects: what was found, when, in which unit, in what condition, and on the evidence, where it originated. It sits in corporate asset management rather than inside iManufacture or iConstruct, and that independence is the point of the job.

This is a documentation role, not an adjudication role. The Coordinator assembles evidence and prepares a written determination of origin for review; contested determinations escalate to the Senior Manager rather than being settled in the field.

KEY RESPONSIBILITIES

  • Maintain the single intake and ledger for every reported defect, warranty claim and construction deficiency across the owned portfolio and delivered third-party projects, assigning each item a unique identifier tied to property, unit, module and component serial number.
  • Capture dated photographic and written evidence to the documentation standard set out in the program SOP, and run systematic condition sweeps using Form CL-01, including full vacant-unit sweeps at turnover and at the opening of any deficiency program.
  • Assemble the evidence establishing each item’s most probable point of origin — iManufacture, iConstruct, an equipment manufacturer or vendor, property management or resident action, or design and engineering — and prepare a written determination with the supporting evidence attached.
  • Own original equipment manufacturer and vendor warranty administration: confirm registration at delivery, maintain a live register of manufacturer, distributor, registration status, coverage terms and expiration by component and property, file claims within coverage windows, and schedule vendor assessments.
  • File Problem Resolution Requests so confirmed root causes reach manufacturing, construction and design and engineering; open Non-Conformance records where product already in production requires modification; and submit product change requests to the Master CI Product Development Tracker where a recurring field defect indicates a product-level fix.
  • Coordinate retrofit, corrective and reprocessing work — sequencing crews with property management for unit access, verifying completed work against the original defect record, and re-baselining the ledger on completion.
  • Maintain the Google Drive system of record to its naming convention and keep Smartsheet status boards current.

Day-to-Day Responsibilities

  • Walk occupied and vacant units, document conditions with photographs and the field inspection checklist, and log findings the same day.
  • Open new ledger items and update the status, evidence and cost attribution of existing ones.
  • Coordinate with subcontractor crews and property management on unit access, scheduling and completion sign-off.
  • Chase equipment manufacturers and distributors on warranty registrations, open claims and service appointments.
  • File and update Problem Resolution Requests and Non-Conformance records.
  • Maintain the document system of record and update Smartsheet status boards.
  • Produce the weekly report on open items, aging, and accepted cost by responsible party.
  • Travel between the Yorba Linda facility and the San Diego properties as the work requires.

QUALIFICATIONS

Years of Experience:  Two to four years in field coordination, construction administration, warranty and punch-list work, property maintenance supervision or quality control.

Prior Experience:  Construction or manufacturing. Multifamily residential experience is required; modular, manufactured or panelized construction experience is strongly preferred. Experience performing corrective or warranty work in occupied buildings, with the resident and property management coordination that requires, is highly valued.

Required Skills and Attributes

  • Exceptional documentation discipline. This role is judged on whether the record holds up months later in front of a vendor, a client or counsel.
  • Demonstrable neutrality — the ability to record and report findings that are unwelcome to one part of the business or another, on the evidence, in writing, without being drawn into the dispute.
  • Clear written English. Determinations must be readable by a plant quality lead, a site superintendent, a property manager and an owner.
  • Working familiarity with residential mechanical, electrical and plumbing systems, sufficient to describe a failure accurately and gather the right evidence.
  • Competence with Smartsheet, Google Workspace, spreadsheets and structured photo and file management.
  • Valid California driver’s license and reliable transportation.

Preferred Qualifications

  • Direct exposure to packaged terminal and vertical terminal air conditioning systems.
  • Prior work inside a modular or offsite manufacturer.
  • Experience with non-conformance or corrective-action systems in a manufacturing environment.
  • Experience administering manufacturer warranties and filing claims against them.
  • Bilingual English and Spanish, given the trade crews the role coordinates with.

   

EDUCATION AND CREDENTIALS

High school diploma or equivalent required. An associate degree or trade certification in construction management, building technology or a related field is preferred. OSHA 30 certification required within ninety days of hire.

PHYSICAL REQUIREMENTS

This position splits between the Yorba Linda manufacturing facility and the San Diego portfolio, approximately ninety miles apart, with regular travel between the two and periodic travel to third-party project sites across California. A vehicle allowance or mileage reimbursement is provided. The Coordinator must be able to access occupied and vacant residential units, roofs, garages, mechanical spaces and active construction areas; work from ladders and lifts; lift and carry up to fifty pounds; and wear required personal protective equipment. Some work will fall outside standard business hours where resident access or vendor scheduling requires it.
