Job requirements
- Minimum 3 years in a similar office administration or management role.
- Diploma in Business Administration preferred.
- Advanced skills in Microsoft Office Suite, particularly Excel and Teams.
- Flexible, adaptable, and able to manage competing priorities with ease.
- Excellent verbal and written English communication skills with strong interpersonal abilities.
- Self-motivated, detail-oriented, and resourceful with creative problem-solving abilities
Job responsibilities
- Process invoices, receipts, and cost coding; manage coordination of payments and maintain accurate records
- Maintain site, contractor and visitor calendars.
- Manage office supplies, PPE, and equipment orders; track purchase orders and shipments.
- Keep shared spaces clean and organized; maintain site files, including permits and insurance.
- Serve as the primary contact for visitors, contractors, and vendors, ensuring professional interactions.
- Arrange package shipments and manage IT hardware requests.
- Oversee key tracking systems and ensure radios and site equipment are operational.
- Assist with planning staff events, corporate visits, and team activities.
- Handle correspondence and inquiries from external organizations.
- Manage day-to-day administrative tasks to ensure smooth office functionality.
