Position Charter

The Site Administrative Assistant is responsible for the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. This position is classified as full-time and non-exempt under the Fair Labor Standards Act (FLSA).

Reporting Relationships

The Site Administrative Assistant reports to the Solution and Maintenance Operations Manager.

Major Duties and Responsibilities

  • Work closely with the Administrative Office Manager to address and resolve administrative inquiries.
  • Acting as a first point of TSMC site contact for employees, clients and visitors.
  • Answering phone calls, responding to emails and directing inquiries to the right person.
  • Greeting visitors, arranging access and preparing meeting rooms.
  • Organizing filing systems and updating digital or paper records.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Support the application process for site access at TSMC, including visitor badge reservations, white badge applications, and red badge applications.
  • Attend bi-weekly TSMC site administration meetings and share meeting minutes and relevant information with stakeholders.
  • Responds to and resolves administrative inquiries and questions.
  • Maintains TSMC site office supplies and coordinates maintenance of office equipment.
  • Manage on-site safety equipment (e.g., safety glasses, helmets, safety vests) and field tools (e.g., general hand tools, portable pH meters, portable conductivity meters).
  • Arrange incoming/outgoing packages.
  • Performs other related duties as assigned.
  • The primary work location will be the trailer house at TSMC site.

Education

  • High school diploma or equivalent or higher
  • One to three years of experience in an administrative role.

Skills and Qualifications

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Strong organizational skills, time management, attention to detail, and the ability to multitask in a fast-paced environment.
  • Strong attention to detail with the ability to accurately capture and document verbal information communicated by phone or in person.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Work independently with minimal supervision, take initiative, and exercise sound judgment.
  • Able to support/assist urgent issues after working hours if need it.
  • Traveling between sites or errands requires a valid driver's license.

Physical Requirements

This is primarily a sedentary job that requires:

  • Mobility & Posture: Ability to remain in a stationary position (sitting or standing) for prolonged periods, with occasional movement within the office to access files, equipment, or attend meetings.
  • Manual Dexterity: Frequent use of hands and fingers for typing, writing, operating office equipment (e.g., computer, phone, copier, scanner).
  • Vision: Ability to read printed materials and view information on a computer screen for extended periods, with or without corrective lenses.
  • Hearing & Speech: Ability to hear and respond to verbal communication in person and via telephone or virtual platforms; clear speech for effective communication.
  • Environmental Conditions: Work is performed in a climate-controlled office environment with moderate noise levels from office equipment and conversations.
  • Lifting & Carrying: Ability to lift, carry, and move office supplies or equipment weighing up to 30 lbs. occasionally.
  • Reaching & Bending: Occasional reaching above shoulder level, bending, or stooping to retrieve or store materials.
