Summary/Objective

Stronghold University is seeking a professional, organized, and highly adaptable Front Desk Administrator to serve as the first point of contact for employees, students, visitors, vendors, and other guests.

This position combines the customer-service expectations of a professional front office with the administrative responsibilities of a corporate environment. The ideal candidate is personable and welcoming, comfortable with technology, highly organized, and able to quickly shift priorities as needs arise throughout the day.

The Front Desk Administrator will be expected to independently manage routine front-office responsibilities, support administrative and operational needs, and use good judgment when responding to unexpected situations.

Responsibilities

Key Responsibilities

· Serve as the primary point of contact at the front desk, greeting and assisting employees, students, visitors, vendors, and guests in a professional and welcoming manner.

· Answer, screen, and route incoming phone calls and general inquiries while maintaining a professional, organized, and welcoming front-office environment.

· Coordinate day-to-day administrative needs, including scheduling, meeting coordination, room preparation, and visitor management.

· Prepare, edit, organize, and distribute documents, correspondence, presentations, spreadsheets, forms, and other professional materials.

· Use Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams, to support administrative tasks, communications, scheduling, and collaboration.

· Use SharePoint to access, organize, maintain, and share documents and information.

· Use Canva to create and update professional materials such as signage, announcements, and internal communications.

· Use Adobe Acrobat and related PDF tools to create, edit, combine, organize, convert, and prepare professional PDF documents.

· Operate and perform basic troubleshooting of office technology, including multifunction printers/copiers, scanners, phones, conference-room equipment, and related devices.

· Maintain electronic and physical records and manage routine front-office functions, including scanning, printing, copying, mail, packages, and deliveries.

· Monitor office and administrative supplies and assist with ordering, inventory, and organization as needed.

· Provide administrative and logistical support for meetings, events, training sessions, and other Stronghold University activities.

· Manage multiple requests and changing priorities while maintaining accuracy, professionalism, attention to detail, and timely follow-through on administrative and operational responsibilities.

· Can move efficiently throughout the office to assist with meetings, visitors, supplies, equipment, and other operational needs.

· Understands that excellent customer service means being responsive, resourceful, professional, and solutions-oriented.

Qualifications

· High school diploma or equivalent required; additional education or administrative training preferred.

· Previous experience in a front desk, administrative assistant, office coordinator, medical/dental office, corporate office, or similar professional environment preferred.

· Intermediate computer literacy with the ability to confidently navigate multiple programs, files and folders, web-based applications, shared systems, and digital workflows.

· Working proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.

· Proficiency with Adobe Acrobat and PDF workflows, including creating, editing, combining, organizing, converting, and preparing PDF documents.

· Working knowledge of SharePoint and Canva, including accessing and organizing shared information and creating or updating basic professional materials.

· Comfortable operating and performing basic troubleshooting of standard office equipment, including printers, copiers, scanners, phones, and conference-room technology.

· Strong verbal and written communication skills, with the ability to communicate clearly and professionally with individuals at all levels of the organization.

· Excellent customer-service and interpersonal skills, with a professional, courteous, and solutions-oriented approach.

· Strong organizational skills and attention to detail, with the ability to manage multiple tasks, interruptions, and competing priorities without losing track of responsibilities.

· Ability to work independently, take initiative, use sound judgment, follow responsibilities through to completion, and recognize when an issue should be escalated; must also be dependable, punctual, professional, and able to maintain discretion when handling sensitive or confidential information.

Physical & Work Environment Requirements

This position is primarily office-based and requires regular interaction with employees, students, visitors, and guests. The role may require extended periods of sitting or standing, frequent movement throughout the office, and occasional lifting or moving of office supplies, packages, or meeting materials.
