JOB SUMMARY

As Senior PMO Manager, you will serve as the operational execution engine for the Professional Services organization, operating in a hands-on player/coach capacity. Reporting to the VP of Professional Services, this role drives daily project health, metric-driven performance, rapid project kickoffs, and process implementation, while also managing a small number of client engagements. Engagements span a variety of project types, including school buildouts, network upgrades, cloud services, and MSP onboardings.

Successful candidates are execution-minded operators who thrive in data and details. You lead by example: modeling best-practice project management on your own assigned projects while translating strategic directives from leadership into actionable workflows, holding delivery teams accountable, catching risks before escalation, and continuously coaching PMs and PCs to hit aggressive timelines.

KEY RESPONSIBILITIES
  • Operational Execution & Data Governance
    • Review daily project health, board status, and deliverable progress to ensure consistent execution across all active projects.
    • Track and analyze key operational metrics – including product order status, work plan ticket hygiene, time entry status, kickoff SLAs, project margin, and team utilization. Actively use these metrics to drive corrective action when projects drift off-track.
    • Ensure cross-functional alignment on build and shipping timelines across PM, Configuration, Engineering, and Quality Control teams.
  • Process Implementation & Operational Efficiency
    • Translate strategic initiatives into clear processes, templates, and workflow automations, effectively rolling them out and quickly securing team compliance with minimal oversight.
    • Maintain and continuously refine the PMO operational framework, board views, and training documentation to streamline team onboarding and improve execution consistency.
  • Third-Party (3P) & Vendor Management
    • Manage 3P vendors and subcontractors to ensure they are utilized efficiently, held accountable to schedules, and incorporated into resource capacity models during high-volume periods.
    • Receive vendor invoices, verify scope completion with PMs, ensure alignment with original POs, and ensure 3P partners are paid promptly and project costs are accurately tracked.
  • Team Leadership & Resource Management
    • Directly manage, coach, and provide real-time feedback to Project Managers and Project Coordinators to build strong tactical execution habits.
    • Balance internal and external project allocations to manage capacity plans effectively across peak and off-season demand.
    • Serve as the primary tactical escalation point for the PMO, actively stepping in to solve delivery blockers and mitigate project risks before they impact clients or internal timelines.
  • Direct Project Delivery & Billable Execution
    • Personally manage a focused portfolio of active client projects (such as major school buildouts or complex MSP onboardings) from kickoff through sign-off, maintaining an average billable utilization of 30-40%.
    • Model best-practice project governance, schedule discipline, work plan ticket hygiene, and client communication for the team through hands-on delivery.
QUALIFICATIONS
  • 5+ years of experience in project management within IT/Professional Services, with at least 3+ years in a team lead or PMO management role.
  • Proven experience overseeing physical IT infrastructure deployments and ideally school buildouts. Exposure to the construction industry, job site coordination, and buildout timelines is a strong plus.
  • Demonstrated ability to directly manage active, billable client projects while simultaneously leading, coaching, and driving daily performance for a team of direct reports.
  • Hands-on proficiency with ConnectWise Manage, TopLeft, and BrightGauge (or equivalent PSA/kanban/dashboarding tools) is highly preferred.
  • Proven track record of using daily metrics, ticket hygiene, and dashboarding to drive execution, enforce team process compliance, and optimize project margins.
  • Practical experience coordinating third-party contractors, managing capacity models, and reconciling vendor invoices against POs and project deliverables.
  • PMP, CAPM, or relevant project management certifications preferred; Bachelor’s degree or equivalent hands-on industry experience.
  • Strong written and verbal communication skills with a demonstrated ability to resolve technical/project blockers, deliver clear updates to leadership, and maintain alignment across engineering and operations teams.
WORK SCHEDULE & LOCATION
  • This role follows a hybrid schedule with the expectation of one in-office day per week during the off-season and up to four in-office days per week during peak season.  Our headquarters are based in Brooklyn, NY.
  • The hours for this position are Monday to Friday, 9am-5:30pm EST.
