We are seeking a bright, enthusiastic, and highly competent Senior Personal Assistant to join our Consumer Sector Cluster Support Team. This role combines high-level PA support with dedicated cluster support responsibilities, reflecting the evolving needs and ambitions of the Consumer cluster. The successful candidate will play a pivotal role in supporting both the Consumer Chief of Staff (CoS) and the wider cluster, ensuring operational excellence and enabling strategic focus.
The role is a Fixed Term Contract (FTC) and will be based in either our London office in Borough or our Head Office in Kingston Bagpuize, Oxfordshire, working two days in the office and three days from home.
Personal Assistant Support (approx. 25%):
- Provide proactive and efficient PA support to the Consumer Chief of Staff.
- Manage complex diaries, schedule meetings and events (internal/external, including board meetings, appraisals, reviews, interviews, and team sessions).
- Coordinate and book complex travel and accommodation.
- Submit timecards and expenses promptly.
- Provide holiday cover for other Senior Personal Assistants.
- Maintain databases and filing systems, including OneView Contacts Management System.
- Ensure stakeholders are aware of and action important tasks and deadlines.
- Uphold best practice in executive support, driving continuous improvement across the team.
Cluster Support (approx. 75%):
- Work with the Chief of Staff on the creation of board and leadership team meeting agendas, sending requests for agenda items and reminders for pre-reads.
- Support Senior Cluster Support Manager (SCSM) on key meeting logistics; act as delegate for SCSM at meetings when required.
- Send reminders and set drumbeat for actions from key meetings.
- Organise Cluster Review Days and Nights, including agenda logistics, presenter coordination, and on-the-day support.
- Own the cluster communications and events calendar, ensuring timely cascade of key messages.
- Manage the cluster performance pack process, working with stakeholders to ensure timely completion and distribution.
- Support marketing events, acting as a bridge between the marketing team and Consumer Executive Support Team for travel and accommodation logistics.
- Oversee governance processes for key activities in the cluster
- Manage monthly Business Partner catch-ups, including tracking responses and prompting for agendas.
- Prepare monthly cascade updates, consolidating content from various contributors.
- Provide PA holiday cover as required.
Requirements
You’ll be a high calibre individual, with exceptional levels of personal drive and eagerness for personal development. An analytical mind coupled with strong communication skills and a positive attitude are essential to fit into the Newton culture. The successful candidate will also have/be the following:
- At least 2 years’ demonstrable experience in a Personal/Executive Assistant role supporting multiple senior stakeholders.
- Experience managing diaries for at least three senior stakeholders and coordinating high volumes of activities, especially travel and accommodation.
- Strong project management or PMO experience is desirable.
- Ability to think ahead, anticipate needs, and adapt to changing priorities.
- Exceptional organisational and coordination skills; able to multi-task and organise others.
- Excellent oral and written communication skills; a collaborative team player.
- Calm under pressure, adaptable, and responsive in a fast-paced environment.
- Advanced proficiency in Outlook, Word, Excel, and PowerPoint.
- Discretion, confidentiality, and attention to detail are essential.
- Proactive, “can do – will do” attitude, with a JDI (Just Do It) mindset.
- Ability to quickly learn new IT systems and processes.
- Experience working in a high-performing, ambitious environment is an advantage.
