The Senior Operations Coordinator ensures our Advocacy Center delivers a consistent, high-quality, and trauma-informed experience for children, families, and visitors. Balancing daily execution with leadership, this role oversees front desk workflows, coaches support staff, maintains data/billing integrity, and partners closely with the Director to keep operations seamless.
What You'll Do:
- Front Desk & Staff Oversight: Lead front desk operations to ensure consistent coverage and high-quality customer service. Support the onboarding, training, and coaching of administrative staff and volunteers.
- Trauma-Informed Client Experience: Maintain a welcoming, respectful environment for families and partners. Address client concerns promptly and support smooth workflow coordination.
- Data & System Management: Run routine and ad-hoc reports using data systems/Electronic Health Records (EHR) while ensuring strict documentation compliance.
- Billing & Administrative Support: Assist with billing tracking, data entry, and compiling compliance materials for grant reporting.
- Facility & Community Engagement: Manage center inventory, supplies, and basic facility needs. Step in to lead facility tours for donors and community partners when the Director is unavailable.
What You'll Bring:
- Experience: 2–3+ years in operations, administrative, or program support roles (non-profit, healthcare, or social services setting preferred).
- Education: Bachelor’s degree in a related field preferred, or equivalent blended experience.
- Technical Skills: Proficiency with data systems, reporting tools, or electronic records preferred.
- Core Strengths: High emotional intelligence, strong communication skills, and the ability to maintain a calm, professional presence in a trauma-informed environment.
- Flexibility: Ability to occasionally support extended hours or late-running cases as needed.
