We're looking for a Senior Manager, Payroll, to join our high-performing and fun-loving team. Reporting to our Chief Financial Officer and working closely with the People team, this person will lead the payroll team and oversee and direct the payroll function for all Canadian and US employees across 5+ studios. This is an exciting opportunity to work with a passionate and talented team on complex payroll operations and make a big impact.
In this role, you can expect to be responsible for:
- Managing the activities of the payroll function
- Develops policies and procedures for payroll process and timekeeping; responsible for the development and implementation of procedural guideline improvements
- Ensures the generation of the company payroll, vacation and sick leave accrual, overtime and withholding status
- Takes ownership and overseeing a Payroll project for implementation and integration and working closely with project managers and stakeholders
- Review reports and analysis’ prepared by Payroll team members before submitting including the RRSP and 401(k) contribution files and benefit invoices for reconciliation
- Legislative Reporting and Compliance
- Meets all government reporting requirements for payroll taxes, withholding and employer contributions
- Keeps abreast of legal and regulatory requirements that have an impact on the organization’s payroll management, compensation and benefits, and adopt requirements and communicate changes to management and stakeholders as needed
- Maintains employee confidence and protects payroll operations by keeping information confidential
- Ensure that the segregation of duties is maintained within payroll so that no one person can process or make unauthorized changes to the payroll
- Maintains payroll system, ensure data integrity and suggest/implement system upgrades and enhancements
- Serve as subject matter expert for payroll systems, identifying opportunities for process improvements
- Troubleshoot system issues with internal stakeholders/external vendors and communicating resolutions/remediation with with end-user experience in mind
- Team management
- Lead the analysis, identification, and development of strategies for improving existing payroll processes, systems, and system integration by providing subject matter expertise and influencing decisions
- Establish and drive the team’s vision and goals in alignment with the organization’s overall strategic direction
- Reviews work done by staff and provide guidance
- Regularly participate in 1:1s with employees, as well as in the staffing, recruitment, onboarding and performance review processes throughout the year
- Espouse and foster a growth mindset by engaging self and encouraging others to continuously learn through training, mentorship, providing feedback and coaching
- Build accountability within the team as well as cohesiveness, supportiveness, and working effectively together to enable each employee and the department to succeed
- Cultivate a safe environment for the team that allows for disagreement over ideas, conflict and expeditious conflict resolution
- ICFR related Responsibilities
- Approve timesheets by employee’s line manager
- Prepare and review preliminary payroll report and comparative analysis
- Check and approve RRSP and 401(k) contribution files
- Review and approve benefit invoices prior to submitting invoice for payment
- Identify/research and resolve payroll issues
- Lead payroll related audits
Your background includes:
- PCP Designation
- 10+ years of Payroll and Benefits administration experience for Canada and the US
- 5+ years of experience managing a team
- Experience processing payroll for over 500 employees
- Knowledge of federal, provincial, and state payroll regulations and requirements
- Advanced proficiency in Microsoft Excel and GSuite
- Proficiency in Dayforce, ADP Workforce Now, or other reputable payroll system
