Job Purpose: Under minimal supervision, effectively manages all financial matters for operations, production, artistic, and music departments of the San Francisco Ballet. Manages the administrative duties involving the company dancers, creative teams, and performance logistics. Serves as lead for administrative duties related to the Operations department. 

Job Duties and Responsibilities: 

  • As a Budgeting Manager, prepares, develops, and implements detailed annual budgets for pertinent sections of the artistic, full-lengths, new works, productions, and relevant special project expenses. 
  • Tracks all expenses for all ballet productions for the season. Develops analytical tools to ensure meaningful budgeting, analysis, and reporting for departmental needs and strategic alignment goals. Identifies process improvements and implements changes cross departmentally. 
  • Oversees and Manages Front of House Operations and acts as main liaison between Management and Front of House union personnel, in conjunction with House Manager. Approves and monitors payroll for front of house staff.
  • Serves as the direct contact and liaison with War Memorial Performing Arts Center. Reviews and maintains ongoing annual rental agreement and rental payments. Participates as main contact for safety committees and other taskforces as assigned.  Creates, maintains, and reviews ongoing safety and emergency plans for War Memorial Opera House. 
  • Manages all payments, purchase orders, and wire transfer requests for operations, artistic, production, and music departments, and special events, administration, and media departments, as needed. Processes all choreographic, design, and music royalty payments. Assists with tax forms for foreign guest artists, creative team members, union new hires, and vendors. 
  • In coordination with Executive Producer, prepares, negotiates, and manages choreographer and stager contracts. Manages the workflow for ensuring all performance related independent contractors are contracted on a timely basis. Negotiates and manages terms for electronic music clearances.
  • Serves on the negotiation team for all seven unions; researches and prepares for negotiation of union contracts; takes notes for negotiation sessions. Assists with updating and analyzing financial models for economic proposals. Collaborates on crafting language for proposals. 
  • Processes and maintains immigration needs and work visas for all non-U.S. choreographers, stagers, and designers, and assists with immigration needs for all other guest artists.
  • Acts as a main liaison between Artists and Management and serves as a lead support to guest artists and creative teams.  Manages the parking benefit requirements for the union personnel and oversees additional security needs for performances.
  • Shares Performance Manager Duty with other members of the Operations Team up to 1/4 of performances. Serves as one of four lead emergency response team members for the War Memorial Opera House, leading necessary evacuations, and other safety protocols. Activates emergency messaging as needed.
Qualifications

Years and Type of Related Experience Required: 

  • Bachelor's degree
  • 4 years of applicable experience, preferably in theatrical production and arts administration

Professional/Technical Competencies: 

  • Utilizes specialized practices of accounting, accounts payable, and union payroll preparation.
  • Utilizes specialized knowledge of federal and state labor and employment law, and tax laws for interstate payroll taxes. 
  • Performs the computations accurately and with close attention to detail and meets due dates and deadlines. Maintains organized, accurate files and records including financial information.
  • Proficiently utilize Microsoft Office applications including Word and Excel for Windows, Outlook, computerized payroll systems.
  • Work independently and exercise good judgment and initiative. Solves problems and resolves issues. 
  • Ability to perform multiple tasks, setting appropriate priorities and completing work on schedule with attention to detail. 
  • Outstanding interpersonal skills including the ability to interact with artists, staff, the public, and volunteers in a professional, confidential and tactful manner. Builds rapport and develops effective, collaborative relationships internally and externally. 
  • Ability to communicate clearly and effectively, both orally and in writing. 

Physical Demands: Required in-office three days during the Monday – Friday work week. During performance season, attendance on evenings and weekends at performance venue(s) as needed.

Special Equipment Used: PC and standard office equipment; Microsoft Office suite; Familiarity with financial systems.
