A Brief Overview
Under the Direction of the Office Manager, the Senior Legal Coordinator performs often complex administrative duties to support the attorneys and paraprofessionals in the Office of the General Counsel (OGC). The Senior Legal Coordinator must be highly organized, flexible, and able to distinguish among priority items, manage difficult situations with skill, patience and diplomacy, and work effectively under time constraints. This role requires excellent interpersonal skills and the ability to communicate effectively with stakeholders of all levels throughout the organization, as well as attorneys and other parties outside of the organization. The Senior Legal Coordinator must be able to work independently and make job related decisions within authorized limits.
What you will do

  • Manage calendars; schedule, prioritize and coordinate meetings including coordinating catering and providing meeting materials as needed.
  • Interact in person and by phone and email with hospital leaders, staff, external constituents, trustees, and stakeholders.
  • Type, revise, format, redline and otherwise assist in the preparation of correspondence, presentations, reports, spreadsheets, agreements, and other documents.
  • Perform departmental reception duties including, receiving visitors, answering telephones, routing callers, taking messages and providing information to callers, prioritizing incoming legal questions and ensuring issues of the highest priority get immediate attention from OGC attorneys.
  • Perform routine clerical tasks including opening and distributing mail, preparing copies and faxes, replenishing office supplies, processing invoices for payment, making travel and lodging arrangements, and submitting expenses for reimbursement.
  • Maintain filing systems and file departmental documents (paper and electronic as applicable).
  • Identify areas in which processes, systems and work product could be improved and recommend improvements.
  • Serve as an OGC resource for information technology needs.
  • Perform other departmental tasks as assigned.
  • Ability to negotiate or mediate difficult situations with tact and diplomacy.
  • Ability to work independently and make job-related decisions within authorized limits and work collaboratively as part of a team.
  • Proficient with Microsoft Outlook, Word, Excel and Powerpoint.
  • Comfortable with and adept at learning new technology platforms and applying them to work duties.

Education Qualifications

  • High School Diploma / GED Required

Experience Qualifications

  • At least five (5) years relevant administrative support experience. Required

Skills and Abilities

  • Experience supporting attorneys in an in-house legal or law firm environment preferred
  • Accurate typing required.
  • Excellent phone etiquette and interpersonal/communication skills.
  • Ability to maintain confidentiality.
  • Ability to handle multiple tasks and to prioritize.
  • Excellent organizational skills, attention to detail, work planning and follow-through skills.
