Job summary

As an Administrative Assistant in Home Lending, you play a key role in supporting our leaders and ensuring smooth operations across the organization. You work collaboratively within a team environment, represent the manager and group with professional courtesy, and deliver flawless work output. Job responsibilities

  • Maintain complex and detailed calendars and screen incoming calls and determine the level of priority, using discretion in dispensing information
  • Manage coordination and logistics for internal and external meetings
  • Arrange and coordinate complicated domestic and international travel and organize all aspects of offsite conferences and external events, including catering and transportation
  • Process invoices and T&E expense claims for team members, ensuring compliance with policies and guidelines
  • Assist with staff onboarding and offboarding, including equipment setup and system access requests
  • Produce high-quality emails and messages to individuals at all levels of the organization
  • Maintain current organizational charts and Executive Bios
  • Handle regular activities proactively and advise in advance of issues or delays and lead and coordinate ad hoc projects as requested
  • Assist in editing spreadsheets and presentations, including printing and binding for client meetings
  • Work cooperatively with the administrative assistants team to support each other smoothly

Required qualifications, capabilities, and skills

  • At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above
  • Advanced organizational skills
  • Tact and good judgment in confidential situations, with proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities, including calendar management

Preferred qualifications, capabilities and skills

  • Experience supporting executive-level leaders in a financial services environment
  • Demonstrated ability to coordinate complex travel and event logistics
  • Familiarity with invoice and expense processing systems
  • Experience with staff onboarding and offboarding procedures
  • Ability to produce high-quality communications for senior stakeholders
  • Proven success in leading ad hoc projects
  • Strong partnership skills within administrative teams
