What You'll Do:
Executive Support
● Own and optimize calendar management, primarily for the CEO with lighter-touch support for 4 additional C-suite executives, proactively resolving conflicts and prioritizing executive time against competing business needs.
● Act as a strategic thought partner to the Executive team, exercising sound, independent judgment on prioritization, access, and confidentiality.
● Manage complex travel logistics, troubleshooting in real time and adapting quickly when plans change.
● Handle highly sensitive and confidential information — financial, personnel, and strategic — with absolute discretion.
Program Management
● Lead end-to-end planning and execution of high-visibility programs and events — including leadership offsites, board meetings, and company-wide moments — owning budget, vendor management, and logistics from concept through execution.
● Drive cross-functional programs (e.g., recognition/anniversary programs, company swag, office operations) from design through rollout, managing timelines, stakeholders, and vendors independently.
● Prepare, edit, and often draft executive-level communications, meeting agendas, and presentation materials for both internal and external audiences.
● Proactively and creatively problem solve when new challenges arise
Facilities Oversight (in-office days)
● Serve as the primary point of contact for office vendors, ensuring the space is functional, stocked, and welcoming including scheduling repairs and vendors, restocking office and kitchen supplies, and troubleshooting day-to-day office issues.
● Receive, sort, and route incoming mail and packages; coordinate outgoing shipments.
● Manage building access and security — badges, keys, visitor coordination, and day-to-day building safety.
● Act as the point of contact for building management, landlords, and maintenance vendors.
● Support office logistics for new hires, events, or office changes (setup, signage, seating, etc).
● Own vendor relationships and billing/contract oversight for office operations.
Qualifications
● 5+ years of experience supporting senior executives (VP or C-level) at a fast-paced technology company.
● Demonstrated experience independently managing complex, multi-stakeholder projects or programs from start to finish.
● Advanced proficiency with Google Workspace, plus experience with collaboration and productivity tools (e.g., Notion, Slack, travel management platforms).
● Proven track record of exercising discretion and sound judgment with confidential and sensitive information.
● Excellent written and verbal communication skills, including experience drafting or editing executive-level communications.
● Experience planning and executing leadership onsites/offsites, including budget, vendor management, and logistics.
● Strong problem-solving and analytical skills, with the ability to prioritize effectively in ambiguous, fast-changing environments.
● Must be able to work autonomously in ambiguous environments, exercising independent judgment when priorities and next steps aren't fully defined.
● Based in or able to reliably commute to Santa Cruz, CA, with availability to work on-site at least 2 days per week.
● Comfortable handling light physical office duties (receiving packages, organizing supplies, coordinating with building/facilities vendors).
● Experience managing vendor relationships and/or budgets strongly preferred.
Skills Required
