We are seeking a Senior Document Controller to oversee and enhance document control processes, ensuring the accuracy, traceability, and governance of critical information across projects. Job Purpose:
Ensure the integrity, accuracy, and traceability of all controlled documents, records, and technical data throughout the product lifecycle, supporting compliance with company standards, customer requirements, documentation management system, quality management system, and applicable regulatory frameworks.
Responsibilities:
Customer/Supplier
- Ensure that customer deliverable documentation is managed accurately, complete, traceable, and delivered within agreed timeframes.
- Maintain a professional and responsive document-control service that supports customer requirements and expectations.
- Distribute customer deliverable documents
- Protect customer information by applying the required confidentiality, security, and access-control measures.
- Support the timely resolution of customer documentation queries, discrepancies, and audit findings.
- Maintain the Customer distribution register
- Maintain Supplier Master Documentation List and distribution
Internal
- Maintain the integrity, accuracy, and traceability of controlled documents and configuration records throughout the product or project lifecycle.
- Review documents for compliance with document-control procedures, Identification standards, templates and approval workflows.
- Maintain and support applied documentation management principle.
- Conduct document and document meta data-quality checks
- Support internal and external audits by providing complete and accurate records.
- Provide guidance to Internal departments eg. Development team, Operations team and any other stakeholders on document management procedure and processes and system requirements.
- Work closely with all internal departments to maintain accurate and consistent information
Innovation and learning
- Identify and recommend improvements to document-control processes, workflows, templates, systems, and reporting methods
Required Qualifications:
- Grade 12
Recommendations:
- Formal Training or relevant certificate in Document and Records Management, degree in Information and Knowledge Management, Records and Archiving Management.
- Experience working with Teamcenter
- CM2 Certification
Required Experience:
- Minimum of 8 years’ relevant document control experience, including experience in a senior, coordinating, or high-responsibility document control capacity
- Knowledge of Quality and Documentation Management Standards (ISO 9001, ISO 19475) and best practices.
Type of Work Experience Required
- Experience managing technical, product deliverable and client interfacing documentation throughout the document lifecycle as well as any non-technical documentation.
- Experience using a Product Lifecycle Management System (PLMS) or Electronic Document Management System (EDMS) or similar document and records management systems.
- Experience controlling document identification, metadata, revision control, approvals, distribution, notification, retrieval, retention, and archiving.
- Experience maintaining document registers and ensuring the accuracy, integrity, accessibility, and traceability of controlled documents.
- Experience working in accordance with internal procedures, customer requirements, quality standards, and applicable regulatory requirements.
- Experience supporting internal and external audits, document reviews, and compliance activities.
- Experience identifying, document control gaps and contributing to process, system, and workflow improvements.
