Position Summary

The Contracts Administrator assists with the daily operations of the company's contract management lifecycle. This role will coordinate the intake, tracking, routine review, and execution of commercial agreements. This position serves as a central operational link between the internal legal team, procurement functions, and various business departments, ensuring that all contracts flow smoothly through the approval pipeline while adhering to company compliance standards.

Essential Functions

  • Act as a point of contact for internal contract requests, reviewing intake submissions for completeness before processing.

  • Review, draft, and finalize routine agreements, such as standard NDAs, amendments, and simple vendor contracts, using approved company templates.

  • Collaborate with procurement teams to align contract terms with initial supplier sourcing requirements and purchase orders.

  • Coordinate the internal signature process, routing finalized agreements through electronic signature tools and ensuring fully executed copies are distributed to all parties.

  • Direct complex legal or financial issues to internal legal counsel for review based on established company risk guidelines.

  • Input contract data into the centralized repository, ensuring accurate metadata tagging, data entry, and strict document version control.

  • Proactively track contractual milestones, performance deadlines, expiration dates, and auto-renewal or opt-out windows.

  • Assist in organizing and uploading standardized templates, pre-approved fallback clauses, and legal playbooks into the CLM system.

  • Extract contract data to generate routine reports on pipeline status, contract volumes, and turnaround times for management review

  • Assist with routine corporate filings, basic entity registrations, and business license maintenance.

  • Organize and maintain digital corporate records, organizational charts, and foundational entity documentation.

  • Collaborate within a shared legal operations team to manage and distribute the group’s shared intake queue.

  • Provide backup support for other administrators on the team during peak volumes or team absences.

  • Adhere strictly to shared department guidelines, workflows, and approval matrices to maintain operational consistency across the business.

  • Edit and adhere to Standard Operating Procedures (SOPs and recommend process improvements as needed.

  • Performs ad-hoc and cross-functional duties and/or projects as assigned to support business needs and provide developmental opportunities.

Education & Experience

  • Bachelor’s degree in business administration, Legal Studies, Supply Chain Management, or a related field with 4+ years of relevant experience is required; or

  • Associate’s degree in business administration, Legal Studies, Supply Chain Management, or a related field with 6+ years of relevant experience is required.

  • 4+ years of experience handling commercial contracts or corporate legal administration is required.

  • Direct experience working within an in-house corporate legal department is preferred

  • Experience with foundational exposure to basic corporate structures or business entity filings is preferred.

Knowledge, Skills, & Abilities

  • Solid understanding of basic commercial contract structures, common clauses, and standard business terminology.

  • Familiarity with basic procurement workflows, sourcing strategies, and vendor onboarding processes.

  • Understanding of purchasing mechanisms, including the relationship between master agreements, statements of work (SOWs), and purchase orders (POs).

  • Proficiency using and navigating enterprise CLM platforms.

  • Proficiency with electronic signature software (like DocuSign) and standard office productivity suites (Microsoft Office/Google Workspace).

  • Excellent precision when data-entering contract terms, proofreading documents, and tracking critical calendar deadlines.

  • Able to manage your daily task queue with minimal daily oversight and stay on top of open files.

  • Ability to follow through on business requests, ensuring contracts move through the pipeline quickly without stalling.

  • Ability to shift focus between different types of administrative requests and adapt to changing team priorities.

Working Environment / Physical Environment

  • This position works on site as noted in their offer letter.

  • Regular work schedule is Monday – Friday, within standard business hours.  Flexibility is available with manager approval.

  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer.

  • Lift and carry materials weighing up to 20 pounds.

This position is eligible for a discretionary bonus and equity award. The hourly base pay range for this position is below. The specific rate will depend on the successful candidate’s qualifications, prior experience as well as geographic location.

$35.05 (entry-level qualifications) to $38.95 (highly experienced) per hour
