The Position
The Workplace Specialist is responsible for administration and oversight of non-technical support services across facilities and buildings within the NNI organization. This role ensures the delivery of high-quality services that meet the needs of clients and stakeholders, aligning with Novo Nordisk's vision, goals, and objectives. The Workplace Specialist monitors and assist REWS in ensuring compliance with company policies and procedures while maintaining strong relationships with all departments and stakeholders on the delivery of services in NNI facilities.
Relationships
Reports to the Senior Director of REWS. Collaborates with all departments across Novo Nordisk, Inc sites, as well as workplace services, (soft) services, and facilities teams. Engages with vendors, consultants, and service contracting agencies. Partners with all levels of the organization, focusing on strategic business partnering to balance business needs and ensure successful project completion. Establishes and maintains key vendor relationships and facilitates with REWS and Vendors essential contracts to support continuous facility operations.
Essential Functions
- Is a key member of the REWS organization and partners with departments to ensure operational needs are met. Examples: Food, workplace services, including office supplies, conferencing, housekeeping, cleaning, waste management, catering, vending, mail, and front-of-house services
- Executes on existing policies and procedures for the delivery of workplace services, ensuring alignment with client and stakeholder needs
- Learns and develops from more senior REWS members to understand the scope of services, ensuring they meet service level agreements (SLAs) and key performance indicators (KPIs). Prepare and analyze reports on performance, identifying areas for improvement and implementing changes as necessary
- Ensure that facilities are clean, safe, well-maintained, and consistent across all buildings and sites. Oversee site access control technology and its deployment, working with FM and Engineering teams to maintain, modify, replace, improve, and harmonize systems across US sites
- Manage budgets and expenses related to workplace services, ensuring cost-effectiveness and alignment with financial goals
- Provide support for site projects, initiatives, and events as required, ensuring smooth execution and alignment with overall site goals
- Enhance the user experience and contribute to talent attraction by ensuring systems, business processes, visitor handling, onboarding, and general user experiences are optimized and consistent across US R&D sites
- Maintain consistency in amenities across office and lab spaces, ensuring that the workplace environment meets high standards of quality and comfort
Physical Requirements
0-10% overnight travel required.
This role will be onsite in Plainsboro, NJ at least 4 days per week.
Qualifications
- A high school diploma or GED required
- 6+ years of experience in a service or administrative role with onsite presence
- Strong stakeholder abilities to influence without authority
- An understanding of NNI culture and departments would be valuable to expedite success in the role
- Ability to inspect facilities, respond to workplace emergencies, and manage the physical aspects of workplace services operations
- Strong listening skills and the ability to gauge timelines and milestones of vendor partners
- Up to 10% travel required to various other NNI sites for oversight and governance of workplace services
- Strong administrative skills with the ability to inspire and guide teams towards achieving strategic objectives in workplace services
- Demonstrated ability to diagnose issues in workplace operations, develop innovative solutions, and implement effective processes
- Excellent verbal and written communication skills, capable of conveying complex information clearly to various stakeholders
- Strong decision-making skills, especially in high-pressure or emergency situations, to ensure uninterrupted workplace operations
- Ability to adapt to changing workplace needs, new technologies, and emerging challenges in a dynamic environment
