Position Summary:  

The Scheduler is accountable for all aspects of scheduling and coordinating successful evaluations from start to finish. This role is a key point of contact with our clients and physicians and serves as one of the first "faces" of MDpanel each time we have the opportunity to service a referral. 
Key responsibilities include communicating in a timely and professional manner with physicians, clients and internal colleagues assisting with referrals, accurate and thorough data entry, processing scheduling requests according to target turnaround times, coordinating schedule availability with physicians and clients, and troubleshooting issues. The Scheduler will act as a liaison among vendors, physicians, attorneys, and insurance adjusters involved in workers’ compensation, auto, liability and other medical-legal cases. 
Shift: 

  • Monday - Friday 
  • Hours may vary depending on projects, deadlines, time zones, and business operation needs  

Essential Duties and Responsibilities:  

  • Schedule Independent Medical Evaluations (IMEs), record reviews, and addendums in accordance with established timelines and protocols
  • Follow procedures for case management and documentation, ensuring accuracy and compliance
  • Respond promptly and professionally to client request and inquiries
  • Assist clients with ancillary service needs, such as translation services, transportation, and mileage reimbursement
  • Collaborate with billing team to process prepayments, retainers, late cancellations, and no show charges according to company guidelines and procedures
  • Occasionally provide administrative support as needed, including checking in examinees, chaperoning exams, mail handling, and other general office duties (responsibilities vary by location)
  • Adhere to all company policies and procedures, maintaining a high standard of confidentiality and professionalism

Qualifications and Education Requirements:  

  • A minimum of 2-3 years' experience in a scheduling role, busy healthcare practice, legal administrative work, clinic setting or similar background
  • High school diploma or equivalent 
  • Comfortable with the use of technology
