We are seeking a Sales Operations Coordinator to keep our sales teams moving efficiently and our systems running accurately. You will maintain CRM platforms, track pipeline and campaign metrics, support conference and event coordination, and partner with marketing to produce sales enablement materials — all while ensuring the behind-the-scenes details that drive sales performance are handled with precision and speed. This role is for someone who is organized, proactive, and actively uses AI to eliminate manual work, surface insights faster, and free up the sales team to focus on building relationships and closing business.

What You'll Do

  • Maintain and update Salesforce and SharePoint in real time, including client data input, record management, and pulling detailed pipeline and performance reports
  • Use AI tools to draft sales communications, summarize meeting notes and reports, build data-driven scoreboard updates, and automate repetitive CRM tasks — reducing manual overhead and improving the accuracy and speed of sales operations
  • Compile weekly sales call reports, business scoreboards, pipeline summaries, and monthly campaign metrics, ensuring data is accurate, timely, and actionable for the sales team
  • Provide backup support to sales team members when they are in the field or at conferences, keeping accounts and communications covered without interruption
  • Coordinate conference logistics including badges, exhibitor booths, and hotel arrangements, partnering with internal teams to ensure everything is in place ahead of each event
  • Attend internal sales meetings, capture notes, and follow up on key action items to keep the team aligned and accountable
  • Partner with marketing and creative teams to develop sales collateral including sell sheets, program overviews, and supporting materials that equip the sales team with compelling, current resources
  • Track and coordinate ad materials for monthly ad close meetings, ensuring all deadlines are met and nothing falls through the cracks
  • Handle White Glove customer service emails and calls with professionalism, responsiveness, and attention to detail
  • Coordinate and send publications to editorial contributors and advertisers as requested
  • Provide light maintenance of assigned franchise sections in the content library, keeping materials current and accessible

What Sets You Apart

  • 1 to 3 years of sales operations, administrative support, or related experience, with a demonstrated ability to keep complex processes running smoothly under pressure
  • An AI-native mindset. You actively use tools such as ChatGPT, Claude, or AI-powered CRM and productivity platforms to draft communications, summarize reports, automate data entry, and surface insights — and you can speak to how they make the sales team more effective
  • Familiarity with Salesforce CRM and SharePoint; experience maintaining accurate records and pulling reports in a sales environment preferred
  • Highly organized and detail-oriented — you manage multiple deadlines simultaneously and nothing slips
  • A confident communicator who works effectively across sales, marketing, creative, and event teams
  • Customer-focused with a collaborative approach and the ability to switch gears quickly to meet changing priorities
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
  • Experience in healthcare, life sciences, or media industries a plus
  • Bachelor's degree preferred

  • Bonus: examples of AI-assisted workflows or automations built to improve sales team efficiency, data quality, or reporting turnaround

Compensation Range

$47,500 to $52,000 per year, depending on qualifications. Eligible for annual company bonus program or commission incentive based on role. Compensation will depend on factors including educational background, skills, and professional experience.
