The Sales & Marketing Support Coordinator serves as the operational hub for the Sales & Marketing department, providing leadership over sales support, lead management, CRM administration, marketing coordination, operational processes, and departmental workflow. This role ensures seamless execution of the sales cycle—from lead intake through turnover—while supporting marketing initiatives, travel advisor engagement, client communications, and revenue-generating programs.
Responsibilities
- Support the daily operations of the Sales & Marketing department, including lead management, reporting, scheduling, and administrative coordination.
- Manage incoming sales inquiries and assist with maintaining accurate opportunity and client information.
- Support Sales Managers and leadership with proposals, client communications, and departmental projects.
- Coordinate client site visits, itineraries, VIP experiences, and special requests to ensure exceptional guest experiences.
- Maintain accurate CRM records, including accounts, opportunities, contracts, and client information.
- Serve as a departmental resource for sales systems, including troubleshooting and process support.
- Identify opportunities to improve workflows, automation, and operational efficiency.
- Marketing & Partnership Support
- Assist with the coordination and execution of sales and marketing initiatives, including collateral, promotional materials, client gifts, and sales assets.
- Support trade shows, sales missions, client events, and familiarization (FAM) trips.
- Coordinate VIP, influencer, PR, and travel advisor experiences, including reservations, amenities, and property arrangements.
- Support departmental invoicing processes, expense tracking, and financial documentation.
- Partner with Finance to ensure accurate coding, approvals, and timely processing of invoices and expenses.
- Maintain organized records related to departmental spending and operational activities.
- Create and maintain departmental procedures, training materials, and workflow documentation.
- Support onboarding and training of new team members on systems and processes.
- Identify opportunities to improve communication, consistency, and departmental efficiency.
- Partner closely with Sales, Events, Marketing, Operations, and Finance teams to support department goals.
- Provide backup support and quality checks for lead management processes.
- Perform other duties as assigned.
- The position supervises the Lead Inquiry Coordinator and partners closely with Sales, Events, Marketing and Operations to ensure accuracy, consistency and exceptional client experiences.
Education & Requirements
- Previous experience in a luxury hotel or resort environment is preferred.
- Previous sales and/or events experience is highly preferred.
- Strong administrative experience is required.
