Reports To: Director of Sales Operations (supporting multiple Sales Managers)
Status: Full Time (40+ hours)
FLSA: Non-Exempt
Location: Columbus (hybrid work-from-home and Arena district office)
Travel: 10%-20% locally to offsite meetings and events within Columbus
Compensation: $24.00-$26.00/per hour
Overview:
As a Sales Coordinator, you will support three or four sales managers/directors to bring convention visitors to Columbus. You will assist the managers as they prospect and bring in potential clients to visit Columbus and see what we can offer to their convention experience. You will work with a team of other sales support staff assisting the convention sales department with special projects. In a collaborative work environment, you will also work on projects and gather information through partnering or interacting with Experience Columbus or Sports Commission team members, community businesses, and current and potential clients.

The Work you will do:
- Finalize and distribute convention sales leads and all forms related to processing pending and definite business:
- Record and manage all forms necessary for the bid process including creating bid books
- Contact partners to follow up on lead responses and verifications
- Customize and format bid book pages
- Purchase and arrange delivery of gifts to prospective clients and guests
- Assist with all pre and post-activities related to a client site inspection or FAM (Familiarization Tour)
- Compile and distribute agenda
- Book client airfare, lodging and meal reservations
- Prepare and deliver client amenities to hotel
- Coordinate and/or assist in airport pick-ups and drop-offs
- Maintain accurate data within the Customer Relational Database (CRM) system:
- Accurately update projection sheets to reflect the manager’s definite business and tentative bookings
- Input sales-related activities
- Create leads as needed
- Process reports for managers regarding bookings and accounts
- Team support and administrative tasks:
- Submit the manager's expense reports
- Coordinate sales manager schedules for in-house meetings and client meetings
- Process expense reports or payment requests and registrations for sales managers
- Manage inventory and re-stock promotional materials
- Assist with projects or reports as requested by sales managers
- Run errands for client gifts and event supplies. Any personal costs are covered including, mileage
- Attend client and Experience Columbus functions as requested.; events occasionally occur in the evening and rarely over the weekend
Who we are looking for:
- 2+ years’ experience in the following areas below (either through education, work experience, or a combination of both):
- Working in a spreadsheet or data system for data management
- Situation and roles requiring discretion, tact, judgment, and poise
- Sales cycle: researching, prospecting, presenting, and closing
- Highly organized and can handle multiple priorities and meet deadlines
- Naturally collaborative with superior written and verbal skills
- High attention to detail
- Roll-up-the-sleeves work ethic and “do-what-it-takes” mindset to execute against the strategy
- Effective at communicating with team members and external customers at all levels of the organization
- Proficient using of Microsoft Office products and the Internet
- Comfortable independently multi-tasking and prioritizing projects in a fast-paced work environment is essential.
- Passionate about the product (Columbus) and motivated to exceed expectations
- Travel, Tourism or Hospitality industry experience a plus!
- Able to be flexible working evenings, and weekends for events as necessary

- Familiarity with the Columbus region
- Ability to work flexible hours, including some evenings, weekends, and holidays.
- The organization requires all employees to obtain and maintain the Experience Columbus Insider (ECI) accreditation.
