Job Summary

The Sales and Client Services Coordinator, Quantitative Sciences holds administrative ownership of client relationships, with a core responsibility for shepherding clients through the sales funnel from initial lead to final conversion/contract execution. This customer-facing role ensures a highly positive and efficient client experience while optimizing the overall efficiency and effectiveness of the QS sales process. Critical operational support is provided to the business development team, focusing on sales administration, support, and process standardization.

Responsibilities

  • Client Experience & Interface: Serves as a key interface with external customers during the sales process, providing excellent customer service and interaction to ensure a smooth, professional, and efficient client journey.
  • CRM and Data Management: Administers and maintains the QS use of the Hubspot Customer Relationship Management (CRM) system, ensuring timely data capture and accuracy across all customer and pipeline records.
  • Sales Process Optimization: Documents, standardizes, and improves key sales operational processes, including lead routing, opportunity management, and sales reporting.
  • Contract Administration Support: Manages the administrative workflow for all customer contracts (CDA, MSA, Work Orders, etc.), including tracking, version control, and facilitating internal review and final execution in a manner that supports the conversion timeline.
  • Reporting and Analysis: Generates and maintains regular sales performance reports, pipeline forecasts, and key performance indicator (KPI) dashboards for leadership review.
  • Proposal Support: Coordinates the internal components of the project proposal process, multitasking to manage timelines and ensuring necessary inputs from team scientists and resource management are collected and populated efficiently.
  • Tool and Technology Support: Serves as the key user for sales enablement tools (e.g., Hubspot), providing training and troubleshooting support to the team.
  • Meeting Facilitation: Owns the scheduling, preparation, and facilitation of internal meetings including weekly Dashboard Reviews and QS BD meetings. 
  • Compliance: Ensures all sales processes and documentation comply with company policies and legal requirements.

Requirements, Skills

  • Exceptional customer service and interpersonal skills for effective client interaction.
  • Superior written and oral communication skills, essential for effective client interaction and internal documentation.
  • Proven ability to multitask effectively, manage multiple priorities, and maintain a high level of performance in a fast-paced environment.
  • Strong analytical and problem-solving skills, with a focus on improving business processes.
  • High degree of proficiency in Hubspot CRM software and sales automation tools.
  • Excellent organizational skills, strong follow-through, and exceptional attention to detail.
  • Comfort with scientific and biomedical topics and an eagerness to learn.

Education and Experience

A 4-year college degree is required or equivalent experience (Business, Operations, Communications, or related field).

Experience: 4-6 years experience in sales operations, customer relations, business administration, or a similar analytical role supporting a sales or business development function.

Physical Demands

The job frequently requires working at a computer terminal, standing or sitting, and the ability to operate the computer with proficiency.

Work Environment

The work environment is quiet with no adverse conditions.
