Job Title: Retail Coordinator
Reporting to: Director of Key Accounts
Salary: $20-$23 per hour
Job Overview:
The Retail Coordinator will provide essential support across retail and education functions across global markets, ensuring smooth operations, tracking retailer coverage, and assisting with research and competitor analysis. This role offers a strong foundation for developing skills in retail operations, account management, providing hands-on experience in managing retail processes, coordinating cross-functional teams, and successfully executing key initiatives.
This position will sit within the Business Development & Specialty team, in Bubble’s NYC HQ with a hybrid schedule of 3x in office.
Key Responsibilities:
- Manage retail timelines and tasks in work management platforms like Wrike, ensuring key projects stay on track
- Maintain the retail master calendar, tracking brand-driven events and retailer deadlines
- Track retailer coverage across social media, email, magazines, and websites, and update competitor and market insights
- Write and create concise, strategic briefs to ensure cross-functional teams have the necessary information and resources for project execution
- Manage retailer assortments and update them as merchandising changes occur
- Support the Business Development and Specialty team by sending product samples and submitting assets to retailers
- Oversee sendouts to ensure they align with company guidelines
- Manage image asset and copy requests for retailer websites and product page updates
- Bring creativity to the role by brainstorming and executing ways to "surprise and delight" retail partners and customers during new launches or events
- Assist with trade marketing initiatives, including coordinating on in-store promotions, product displays, and retailer campaigns
Note: This role will be varied in nature as a key support function for the specialty & business development functions.
E-Commerce & Competitor Audits
- Conduct regular audits of retailer websites, ensuring product descriptions are accurate and identifying discrepancies
- Monitor retailer platforms and social media for competitive insights and emerging trends
- Analyze sales data and provide insights to improve retail performance and strategy
Research & Field Support
- Contribute to competitor analysis and develop product comparison decks
- Provide operational support to the field team, including managing gratis sendouts, tracking survey results, and supporting education sessions
- Collaborate with Retail Education to create quizzes and learning modules for the field team
What a typical day might look like…
- Checking project management platforms like Wrike to ensure all retail timelines and tasks are on track
- Follow up with cross-functional teams, such as marketing and creative, to ensure all briefs and assets are aligned for upcoming launches or retailer updates
- Conduct a quick audit on retailer sites, identifying any discrepancies in product information and ensuring proper representation
- Assist the sales team with trade marketing initiatives, collaborating on in-store promotions and retail campaigns
- Provide operational support for ongoing field activities, managing sendouts, and collaborating with the Retail Education team to develop new training materials
Qualifications & Skills:
- 1-3 years of experience in retail operations, e-commerce, or related fields, with exposure to corporate beauty or start-up environments.
- Strong problem-solving skills, attention to detail, and ownership.
- Ability to thrive in fast-paced environments, managing tight deadlines and adapting to changing priorities.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and communication skills (written and oral).
