About the role:

The Regional Office Manager & Senior Administrative Support to the IIX C-Suite is a high-impact, trusted role at the heart of IIX’s fast-paced, mission-driven work. This position is ideal for a passionate, energetic, and highly organized professional who thrives on anticipating needs, takes pride in excellence, and demonstrates strong ownership across all responsibilities.

The role combines hands-on regional office management with senior-level administrative and coordination support to the C-Suite. It complements, rather than replaces, the existing Executive Assistant function, working in close partnership to ensure the C-Suite operates seamlessly, efficiently, and with disciplined follow-through across multiple priorities and geographies. The role serves as the connective tissue between leadership and teams, translating ideas into action and ensuring nothing falls through the cracks.

Operating in a dynamic, entrepreneurial environment, this role requires sound judgment, discretion, agility, and the ability to manage complexity with calm confidence. Key Responsibilities

Senior Administrative Support to C-Suite

  • Provide senior-level administrative and coordination support to the CEO and designated C-Suite members, in close collaboration with the existing Executive Assistant.
  • Support scheduling, travel coordination, and meeting logistics as required, without owning primary calendar or inbox management.
  • Prepare briefing notes, presentations, background research, and pre-reads for board meetings, investor engagements, and senior leadership forums.
  • Coordinate C-Suite meetings, including agenda collation, materials preparation, minutes, and tracking of follow-up action items.
  • Act as a trusted coordination point and gatekeeper for selected internal and external requests, exercising sound judgment and discretion.
  • Support board and committee processes, including logistics, documentation, and maintenance of confidential records.
  • Supervise the Administrative Officer in Singapore, ensuring effective and timely execution of duties.

Regional and Overseas Office Management

  • Oversee day-to-day operations of the regional office, maintaining a professional, efficient, and compliant workplace.
  • Manage relationships with overseas office vendors, service providers, landlords, and other regional partners.
  • Coordinate various office budgets, track expenses, track tenancy agreements, lease renewals, handle procurement, and implement administrative controls in collaboration with Finance and Operations teams.
  • Ensure compliance with organizational policies, risk management standards, and local regulatory requirements for the Singapore office as well as overseas offices.
  • Collaborate with the Administrative Officer to manage high-level guest visits, visas, flights, and organize gifts or flowers for work anniversaries, holidays (Christmas, CNY), and condolences.
  • Support onboarding and offboarding processes for regional staff, including office access, work hours implementation, systems setup, and logistics.
  • Understand, interpret, and implement relevant MOM policies and guidelines on flexible work arrangements, dress code, and leave, ensuring alignment with IIX policies.

Coordination & Cross-Functional Support

  • Act as a coordination hub between the C-Suite, internal teams, and regional teams (Asset Management, Advisory, Finance, Legal, HR, Communications).
  • Manage special projects of the CEO, track strategic priorities and key deliverables, supporting disciplined execution and follow-through.
  • Assist with planning and execution of regional leadership meetings, retreats, and high-level events.
  • Support special projects and strategic initiatives as assigned by the CEO or COO.

Communications & Stakeholder Engagement

  • Draft internal and external communications on behalf of the CEO (with approval), including executive correspondence and selected external communications.
  • Liaise with investors, board members, regulators, and ecosystem partners with professionalism and discretion.
  • Represent the C-Suite in administrative and coordination matters, upholding IIX’s values and reputation.

Required Qualifications & Experience

  • Bachelor’s degree in business administration, management, international relations, or a related field; an advanced degree is a plus.
  • Minimum of 10 years’ experience in senior administrative support, office management, executive coordination, or similar roles supporting senior leadership.
  • Demonstrated experience working alongside Executive Assistants or within broader executive support models.
  • Experience in regional or multi-country environments; exposure to Asia-focused operations strongly preferred.
  • Proven ability to handle confidential information with absolute discretion and professionalism.
  • Strong organizational, project management, and problem-solving skills.
  • Excellent written and verbal communication skills in English; additional Asian languages are an advantage.
