Position Summary

Agentis Capital Advisors is seeking a Recruitment Operations Specialist, NOC 12101, to support and progressively take ownership of the firm's recruitment operations and talent acquisition activities.

The successful candidate will work closely with the Operations team, senior leadership and hiring managers to identify staffing requirements, manage full-cycle recruitment processes, coordinate candidate assessments and interviews, support university and new-graduate recruitment, maintain recruitment systems and records, and contribute to the development of efficient recruitment processes and AI-assisted tools.

Key Duties and ResponsibilitiesRecruitment and Talent Acquisition
  • Consult with hiring managers and senior leadership to identify current and anticipated staffing requirements.

  • Develop recruitment plans and coordinate recruitment activities for junior, professional and new-graduate positions.

  • Prepare, draft and post job advertisements through appropriate employment websites, career boards, university career centres and other recruitment channels.

  • Source and contact prospective candidates using appropriate recruitment and talent-sourcing methods.

  • Review and screen applications and resumes against established position requirements and selection criteria.

  • Manage high-volume candidate applications while maintaining accurate and timely recruitment records.

  • Conduct preliminary and structured first-round candidate interviews.

  • Coordinate candidate assessments, interviews, interview panels and selection processes.

  • Prepare candidate summaries, interview notes, evaluation materials and recommendations for hiring managers and senior leadership.

  • Notify candidates of selection decisions and coordinate communications throughout the recruitment process.

  • Prepare employment offers for management approval and assist with offer administration.

  • Coordinate recruitment activities with Canadian university career centres and other educational institutions for new-graduate recruitment.

  • Manage candidate outreach and employer-branding activities designed to attract qualified applicants.

Recruitment Operations and Systems
  • Maintain accurate candidate information, recruitment stages, interview notes, assessment results and other records in the firm's applicant tracking and recruitment systems.

  • Maintain recruitment databases and generate regular recruitment reports for management.

  • Track recruitment activity, candidate pipelines, applications, interviews and hiring outcomes.

  • Develop and maintain approved recruitment workflows, process documentation and recruitment automations.

  • Identify opportunities to improve the efficiency, consistency and effectiveness of recruitment processes.

  • Develop and maintainAI-assisted recruitment tools, workflows and applications used for candidate tracking, application processing, communications, assessments and recruitment reporting.

  • Administer and maintain structured candidate-assessment workflows and associated scoring systems.

  • Prepare recruitment metrics and reporting materials for management review.

Onboarding and Human Resources Administration
  • Coordinate onboarding logistics, documentation and communication for newly hired employees.

  • Manage offboarding administration and related documentation.

  • Maintain organized and confidential employee and recruitment records.

  • Support HR information systems and related recruitment and personnel administration.

  • Communicate employment requirements and terms of employment to successful candidates.

  • Support other recruitment and human-resources administrative activities consistent with the position.

Process Improvement and AI
  • Identify opportunities to use technology, automation and AI to improve recruitment operations.

  • Develop and maintain AI-assisted workflows for job-posting preparation, candidate tracking, application review and assessment processes.

  • Lead testing, implementation and continuous improvement of recruitment-related systems and automations.

  • Support the preparation of training and process documentation for recruitment systems and tools.

  • Work with the Operations team to improve recruitment processes while maintaining confidentiality, accuracy and appropriate human oversight.

Education Requirements
  • A bachelor's degree in commerce, management, business administration, finance, economics, human resources or a related discipline is required.

Employment Experience Requirements
  • 1-2 years of practical experience in recruitment operations, talent acquisition, human resources coordination or a closely related field, including experience with full-cycle recruitment.

  • Demonstrated experience managing recruitment activities from job-posting and candidate sourcing through screening, interviewing, selection and offer administration.

  • Experience coordinating multiple recruitment processes or hiring initiatives simultaneously.

  • Experience using applicant tracking systems, recruitment software or other HR/recruitment information systems.

  • Experience with candidate assessment, structured interviews or other systematic candidate evaluation methods.

  • Experience using AI tools, automation platforms or technology to improve recruitment or business processes.

  • Experience developing or maintaining automated workflows, recruitment processes, reporting tools or similar systems is required.

  • Experience working with university career centres or new-graduate recruitment programs is an asset.

  • Prior in-house recruitment experience in a financial advisory, investment banking, or professional services environment is an asset.

  • Experience administering or interpreting structured or psychometric assessments is an asset.

Compensation and Benefits
  • $80,000 CAD annual salary ($41.03 per hour).

  • Paid sabbatical after every two years of employment, subject to company policy.
