The OpportunityThe Recruitment Operations Specialist will collaborate with the Operations team and senior leadership to help the company achieve its business objectives, execute improvement initiatives, and fulfill key operational activities. You will work closely with the firm’s Operations team daily, with a primary focus on the firm’s recruitment and talent management operations, and will use and help develop AI-assisted tools supporting the firm’s recruitment and talent-management processes. You will be an important member of a professional team and instrumental in shaping the firm's culture and success.
Your ContributionThe role requires strong judgment, high ownership, and the ability to manage multiple priorities in a fast-paced environment while communicating clearly and consistently with stakeholders. The role is designed to grow: as you develop, you will assume increasing ownership of the recruitment function and the operational processes you run.
The Recruitment Operations Specialist will be responsible for, but not limited to, the following:
Drive and deliver on recruitment operations end-to-end:
Consult with hiring managers to identify current and anticipated staffing requirements
Prepare and post job advertisements
Review and screen applications against established criteria
Source and contact prospective candidates
Coordinate candidate assessments, interviews, and selection processes
Communicate employment requirements and terms to applicants
Notify applicants of hiring decisions
Prepare employment offers for approval
Maintain recruiting systems and data (e.g., the ATS) with accurate stages, notes, and score capture, and produce weekly recruiting reports for management
Support talent sourcing activities and candidate outreach in collaboration with the hiring lead
Coordinate onboarding and offboarding logistics and documentation, and maintain organized employee records
Support the design, implementation, and monitoring of recruitment projects, processes, and systems to improve functional efficiency and effectiveness within the business operations
Develop and maintain approved ATS workflows, recruitment automations, reporting dashboards, and AI-assisted tools to improve candidate tracking, communications, and recruitment-process efficiency
Prepare reporting materials and update management on the status and performance of hiring and operational initiatives
Perform other recruitment and human-resources administration duties consistent with the scope of this position
Bachelor’s degree in commerce, management, finance, or a related discipline
Minimum two years of experience in recruitment operations or human-resources coordination, including practical experience with full-cycle recruitment. Business-operations experience is considered an asset
Demonstrated proficiency using AI systems, automations, and recruitment software suites in day-to-day operations
Experience building with AI tools, such as automations, workflows, or small applications, is required
Experience with full-cycle recruitment and understanding of HR practices is required
Exceptional organizational, interpersonal, and written and verbal communication skills
Ability to manage multiple initiatives or projects, with strong organizational and prioritization skills
Ability to work in a team environment that requires high initiative, minimal supervision, and an ability to address shifting priorities in a high-pressure environment
Discretion and trustworthiness with confidential information, including candidate and personnel matters
