DESCRIPTION of ROLE:
We are seeking a motivated and detail-oriented Staffing Assistant / Staffing Coordinator / Junior Recruiter to support our seasoned recruitment team.
The ideal candidate will provide support to the Senior Recruiting Manager and overall Staffing Department personnel, and assist with staffing related administrative functions such as: drafting job descriptions, screening (candidate sourcing both active and passive personnel), sourcing candidates through databases (job boards) and social media. Resume templating and technical writing, properly record display applicant dispositions stages within the ATS system, saving incoming resume data into proper folders/system placement for current and/or future considerations, updates to existing staffing reports filed to Senior Leadership, interview set-up, and/or any other recruitment process flow that initiates the final administrative taskings of a candidate selection and acceptance of a role. This entry-level role offers an excellent opportunity to develop your Recruiting skills and gain experience in the IC Community.
KEY RESPONSIBILITIES
• Remain available to assist the Staffing Department taskings in order to meet the overall staffing corporate mission and objectives.
• Help promote the company's reputation and attractiveness as the best employment opportunity.
• Assist in posting job openings on various job boards and social media platforms.
• Assist with employer branding initiatives and recruitment campaigns.
• Provide overall continuous monitoring and administrative updates, tasks solely related to supporting recruitment flow processes.
• Provide database/and record management - maintain accurate and organized candidate records in the ATS (Applicant Tracking System), and corporate reporting metrics (shared drive access / MS Office (Excel / Word). Project tasking includes: maintaining complex spreadsheets for data entry, collection, analysis, and organization reporting.
• Assist in sorting, maintaining & growing candidate LCAT (Labor Category) pipelines.
• Follow the staffing department's protocols & documentation processes when assessing applicants.
• Conduct initial phone screenings to assess candidate suitability.
• Assist with coordination and schedule interviews between candidates and hiring managers.
• Provide guided administrative support and metrics throughout the recruitment selection and approval processes.
• This individual will be actively engaged from the beginning stages of the recruitment process, and shall provide organization & assistance where and when needed, until the department receives the final technical selection and approval. (NOTE: Security clearances and onboarding initiatives are handled separately and not part of the Staffing Assistant/Recruiter function.)
• Collaborate with team members to understand hiring needs and priorities.
• Collaborate with Senior Leadership and follow the staffing department protocols & documentation processes when assessing personnel.
REQUIRED Reporting Location / Work Hours:
• Ability to manage, work independently, and be responsive on a timely basis. (Experience working in a remote environment is preferred.)
• CSG headquarters is based in Columbia, Maryland. Physically residing within a 30 mile radius of Columbia, MD is the preferred location for this position, however, working telework/remote factors is acceptable.
• In this hybrid role, the expectation is to be present and accounted for. This incorporates both working remotely and (at times) onsite reporting factors.
◘ Telework = has an approximate 95% utilization of the time / per month.
◘ Onsite/Maryland = is an approximate 5% utilization target time/per month
This role is based upon occasional (and scheduled in advance) visits within the Columbia / Ft. Meade, Maryland area. There are company related events/meetings that may be scheduled throughout the calendar year. In addition, there may be times called upon and required to meet with official Sr. Recruiting Manager, and/or Executive Leadership onsite.
• Communications: it is expected that the individual make themselves available to answer a telephone call, whether to Candidates/Applicants or even to Senior / Executive Leadership especially during the operational business hours of 8:00am - 5:00pm. (NOTE: this timeframe is based upon individual working at a Full-Time capacity.)
• The individual has the ability to fluctuate working hours within the day as staffing demands can change. The candidate will have the ability to determine the level of fractional support and fluctuate their time on a per pay period bases. Guidance and direction shall be provided directly from:
◘ the Staffing Department Lead, Sr. Recruiting Manager,
◘ at times, by a Senior Recruitment member (when the Sr. Manager is absent),
◘ and/or by Executive Leadership.
• Participate in weekly "staffing team meeting with Leadership". There may be other (and additional) non-planned Staffing Tag-Up sessions that occur during a work-week, and availability to attending is expected.
• Personnel must be: accessible – reachable by phone, and visible at times. (Example: there may be some Video Conferencing that may require viability when participating.)
• To ensure continuous operational and department coverage, the Staffing Assistant should try to align their calendar schedule to remain available and active during periods when any Senior Staffing Team members are off or unavailable.
QUALIFICATIONS:
• Bachelor’s Degree: Desired but not required
• Industry Certifications: N/A (Not Applicable)
• Experience: 0 to 3 years
• Strong communication and interpersonal skills.
• Ability to multitask and prioritize tasks effectively.
• Basic knowledge of recruitment practices and the Intelligence Community is a plus.
• Proficiency in MS Office (Word, Excel, Outlook).
• Proficiency and experience within ATS systems
• Eagerness to learn and grow within the recruitment field.
