Zen Strategics, a Titan Technologies company, is seeking a Records Management Specialist to support a federal Records and Privacy (R&P) program. This role will support the execution of agency records and information management activities, including records inventories, file plan development, records organization, and lifecycle management within a 100% electronic records management environment.

Job description

The ideal candidate will contribute to the effective management of program records by ensuring proper classification, storage, retrieval, and disposition in accordance with federal regulations and agency procedures. This role requires strong attention to detail, the ability to work independently on assigned tasks, and the capability to support records management operations across both electronic and analog record systems.

Duties and Responsibilities:

  • Support program Records Management team in executing records and information management program activities and procedures
  • Assist in performing agency-wide records inventories and file plan development to ensure all records are identified, scheduled, and properly maintained
  • Support the organization, maintenance, storage, and retrieval of records across electronic systems, shared drives, and physical repositories
  • Assist with applying records retention schedules and General Records Schedules (GRS) to ensure proper lifecycle management
  • Support records appraisal activities, research, and data collection for scheduling and disposition decisions
  • Assist with digitization, migration, transfer, and destruction of records in accordance with program and NARA procedures
  • Utilize Electronic Records Management Systems (ERMS) to manage records throughout their lifecycle
  • Perform data entry, document preparation, and records tracking with a high degree of accuracy
  • Conduct searches and retrieval of records and information across agency systems and repositories
  • Assist in preparing reports, correspondence, briefings, and training materials with minimal errors
  • Support coordination with Federal Records Centers and NARA for records transfer and reference requests
  • Ensure proper handling of Controlled Unclassified Information (CUI) and sensitive records
  • Support records management helpdesk inquiries and provide assistance to agency stakeholders
  • Collaborate with program staff and contractors to support records management initiatives and program goals
  • Follow established quality assurance (QA) processes to ensure accuracy and audit readiness of all deliverables
  • Support the management of both electronic and analog records collections, including large-scale repositories and long-term retention records

You MUST have:

  • A DoD Top Secret clearance is required
  • Minimum 2+ years of relevant Records and Information Management experience
  • Working knowledge of:
    • Federal records management principles and lifecycle processes
    • Federal Records Act (44 U.S.C.) and 36 CFR
    • National Archives and Records Administration (NARA) policies and General Records Schedules (GRS)
  • Experience supporting:
    • Records inventories and file plan development
    • Records organization, storage, and retrieval processes
  • Strong attention to detail and ability to maintain accuracy in data and documentation
  • Ability to perform computer-based work, including data entry, document preparation, and system navigation
  • Proficiency with Microsoft Office Suite and SharePoint
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively in a fast-paced federal environment

It’s GREAT if you also have:

  • Experience supporting federal agencies or government contracting environments
  • Familiarity with Electronic Records Management Systems (ERMS)
  • Experience with records digitization or migration efforts
  • Exposure to CUI handling requirements and federal data governance practices
  • Experience supporting records-related training or user support functions

Education:

  • High School Diploma required, Bachelor’s degree in Information Management, Library Science, Business, or related field preferred
