Job Summary

The Department Assistant / Receptionist provides general office support with a variety of clerical activities, scheduling customer services and related tasks. The Receptionist must deliver friendly, efficient customer service to create a warm and welcoming atmosphere for all of our customers, with the key aim of retaining and attracting new customers. Customer service is everything to The Zemba Companies and this person will play a vital role in serving the community.


Essential Functions



  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
  • Retrieves messages from overnight voicemail and forward to appropriate personnel.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors with kindness and courtesy, determines nature of business and announces visitors to appropriate personnel.
  • Assist in maintaining safe and clean reception, kitchen, common and bathroom areas at all times.
  • Assist with other related clerical duties such as copying, faxing, filing, and all other requests as needed.
  • Assists in ordering, receiving, stocking and distribution of office supplies, employee uniforms, and cleaning supplies.
  • Perform tasks assigned by other departments within the company, coordinated through supervisor.
  • Coordinate distribution of all incoming packages to the proper departments timely.
  • Problem solve and mediate any incoming communications necessary

Qualifications

Competencies

  • Minimum of 1-3 years related experience
  • Excellent computer skills and proficiency with Microsoft Office
  • Excellent verbal and written communication skills to interact clearly with customers, vendors and other employees
  • Strong organization skills to keep accurate records and find important information quickly
  • Time management skills to prioritize and complete a side variety of tasks throughout the day
  • Patience and listening skills to respond appropriate and interact positively with customers or upset customers
  • Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
  • Excellent problem-solving skills
  • Ability to work in a team environment

Education Requirements

Must have High School Diploma or GED

Safety

Strict adherence to safety requirements and procedures as outlined in the Manual of Safety Practices and Procedures.

Travel

No travel is expected for this position.
