A national multi-office law firm is seeking a professional, organized, and personable Receptionist to join its Miami office. This is a full-time, front desk position offering a competitive salary, full benefits, and the opportunity to play a key role in maintaining a welcoming and professional environment for visitors, clients, and staff.
This position is ideal for a detail-oriented administrative professional with excellent communication and multitasking skills, particularly those with experience in a legal or professional services setting.
Key Responsibilities
- Greet and assist visitors and clients in a courteous and professional manner
- Answer and route incoming calls using a multi-line phone system; take and relay messages as needed
- Manage daily mail and package deliveries, including logging and distributing items
- Coordinate outgoing shipments via FedEx/UPS and maintain incoming fax distribution
- Update and maintain staff extension list and conference room calendar
- Organize and manage the front desk area and ensure conference rooms are clean and stocked
- Monitor and manage inventory of office supplies; coordinate with vendors for restocking and equipment maintenance
- Provide general administrative support and assist in scheduling meetings and conference calls
- Perform other clerical duties as assigned to support office efficiency
Qualifications
- 1–2 years of experience as a receptionist or front desk administrative assistant; law firm or professional services background preferred
- High School Diploma or equivalent required
- Familiarity with multi-line phone systems
- Strong communication skills, both verbal and written
- Proficiency in Microsoft Office applications, including Outlook and Excel
- Excellent organizational and time management abilities
- Ability to work independently and exercise sound judgment
Physical Requirements
This role involves extended periods of sitting and frequent use of computers and office equipment. Occasional walking, bending, lifting (up to 20 lbs.), and standing may be required.
Work Environment
The position is located in a professional office environment with occasional variations in temperature and interruptions throughout the workday.
